I. JOB OVERVIEW






Job Description Summary:
This experienced position devises strategies and develops opportunities to build and maintain relationships with alumni, to strengthen alumni engagement, and to deepen their affinity to GW and its programs. This position executes alumni communications and marketing plans, recruits, trains, manages and stewards alumni volunteers, executes alumni programs and events as appropriate, and partners with school representatives for alumni efforts. This role works with students, faculty and staff in the implementation and development of alumni programs, and partners with other departments to engage alumni for prospect identification, discovery and to maximize constituent participation in GW fundraising efforts.

Additional Duties:

The Executive Associate, Alumni Support and Administration is a key administrative and operational staff member responsible for the efficient, effective, and professional day-to-day management of the Alumni Relations office. This role supports the team by ensuring seamless operations, managing essential communications, maintaining data integrity, and providing critical support for all alumni engagement strategies.

Operations Management

  • Oversee day-to-day office operations, ensuring a smooth, professional, and efficient environment.
  • Develop, implement, and maintain office policies, procedures, and best practices to improve efficiency and workflow.
  • Manage all facilities operations, including oversight of the Alumni House and maintaining the master seating map for all Central Alumni Engagement personnel.
  • Oversee procurement, inventory, and vendor relationships for all office supplies.
  • Manage the administrative onboarding, scheduling, and general coordination for the Administrative Assistant and Student Employees.


Volunteer Intake

  • Manage the volunteer intake process, including overseeing the volunteer interest/application form.
  • Disseminate volunteer information to the appropriate volunteer managers and program leads across the team.
  • Code and track all volunteer activity and data within the central alumni database, ensuring data integrity and accurate reporting.

Alumni Support and Communications

  • Serve as the primary point of contact for general alumni inquiries, including triaging the main alumni email inbox, providing timely responses, and assisting with rapid crisis communications as needed.
  • Act as the primary internal contact for general alumni email issues, coordinating problem resolution between staff and the IT support team.
  • Manage life events and recognition programs, coordinating acknowledgement for major life events.
  • Provide logistical and administrative support for a wide range of alumni programs and events

Benefits Administration

  • Act as the dedicated administrative contact for external benefits partners (e.g., Liberty Mutual, Bank of America) and manage the website and marketing materials promoting alumni benefits.
  • Coordinate with campus partners (e.g., Library, Registrar's office, Facilities) to administer key alumni benefits (e.g., library resources, course audits, brick program).
  • Provide administrative oversight and support for all ad hoc special alumni projects.

Performs other duties as assigned. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.
Minimum Qualifications:

Qualified candidates will hold a Bachelor's degree in an appropriate area of specialization. Degree must be conferred by the start date of the position. Degree requirements may be substituted with an equivalent combination of education, training and experience.
