Job Description

The Legal Aid Society's Civil Practice has an opening for a Program Coordinator in the Family/Domestic Violence (DV) Project. The Family/DV Project provides comprehensive direct legal assistance to survivors of domestic violence in a broad range of civil matters, including orders of protection, divorces, custody, visitation, child support, spousal support, property rights, consumer matters and immigration.



The Program Coordinator for the Family/Domestic Violence (DV) Pilot Project will support the unit though the implementation and administration of grants and data within The Legal Aid Society's Civil Practice. Reporting to the Citywide Director of the Family/DV Project, the Program Coordinator will be primarily responsible for coordinating client intakes and referrals, assisting with data collection and integrity, and ensuring timely and accurate grant reporting. They will work with the Family/DV Unit, Borough Administrators and their teams, case handlers, and the Civil Grants & Contracts Team. This position will help establish and maintain efficient systems for case management updates, data and document upload, and program data tracking, while facilitating communication between internal teams and community-based partners. The Program Coordinator will also support outreach and engagement efforts to strengthen collaboration and service delivery for survivors of domestic violence, as well as conduct intake with clients. The ideal candidate will be a highly organized team player with strong communication skills, a commitment to public interest work, and the ability to develop effective systems for data entry and client outreach.



ESSENTIAL DUTIES/RESPONSIBILITIES


Program Coordination



  • Coordinate client intake and referral processes, ensuring timely and accurate communication across staff and partners
  • Assist existing Legal Aid clients in obtaining assistance from other providers when appropriate
  • Organize and manage the case management system and maintain accurate electronic case files
  • Assist with program development, implementation, and reporting to meet grant requirements
  • Support the creation and updating of shared practice resources for case handlers
  • Conduct intake with clients and determine next steps
  • Foster and encourage teamwork and effective communication within the Family/DV Project
  • Represent the Civil Practice and Legal Aid Society in community outreach and engagement activities




Case Management and Administration



  • Work with the Family/DV Unit, Borough Administrators, case handlers, and the Civil Grants & Contracts Team to ensure case matters are timely updated with data required for grants management
  • Oversee and ensure collection of data for grants/contracts, including accurate service levels, completed forms, and other information needed to establish eligibility and outcomes
  • Ensure all required documents for programmatic audits are uploaded into the case management system before case closing
  • Maintain overall quality assurance in the case management system by identifying duplicate cases or clients, ensuring proper case assignment, and confirming timely case closure
  • Create standards of operation for data entry
  • Follow up with and/or interview clients to obtain information needed to properly enter and update cases, as needed



Data Collection and Reporting



  • Implement best practices for data collection and reporting in coordination with the Civil Grants & Contracts Team
  • Monitor compliance with grant requirements and assist in preparing reports for funders



Outreach and Community Engagement



  • Support outreach activities and engagement with community-based organizations to strengthen collaboration and service delivery for survivors of domestic violence
  • Assist in development and maintenance of community education materials and training for clients and partner advocates



Professional Development and Other Duties As Assigned

  • Perform other duties as assigned



QUALIFICATIONS


Required qualifications:



  • Bachelor's degree or an equivalent combination of 4+ years of post-secondary education and/or work experience
  • Excellent computer skills including Office 365 and all Microsoft Office programs, especially Microsoft Excel (pivot tables, etc.), and demonstrated ability to work with databases
  • Proficiency in fundamental arithmetic operations and numerical accuracy
  • Previous administrative experience



Preferred qualifications:



  • Proficiency in another language preferred

Physical, environment, travel, and other duties required:



  • Mostly sedentary, significant time using a computer and monitor; communicating and meeting using video
  • Will require travel within NYC, across the five-borough region



* For positions noted as essential, this will require either remote or in-person work during times of closure or otherwise non-typical business hours which may include evenings and weekends and during unforeseen events such as inclement weather or poor air quality conditions.



SALARY AND BENEFITS


The salary range represents a good faith estimate of the range we expect to pay for this role. The actual salary offered may vary depending on many factors, including but not limited to job-related knowledge, skills, and experience, as well as collectively bargained salary steps for unionized roles.



Salary Range: $75,782 - $80,782
