SUMMARY
The Assistant Director for Economic and Workforce Development (EWD) Records and Compliance assists the Director for EWD Records and Compliance with overseeing records and compliance processes for our EWD programs, including the registration of students, verify payment of fees, maintenance of permanent course files, the grading of EWD courses, and reporting process for all program areas of EWD.
DUTIES AND RESPONSIBILITIES
- Provide admissions, registration, and business office support for EWD registrations each semester.
- Record grades/contact hours for Economic and Workforce Development students in preparation for semester reporting to the North Carolina Community College System Office; supply end-of-semester reports to appropriate staff.
- Review accuracy of EWD part-time instructional contracts prior to registering students to ensure accuracy.
- Review accuracy of EWD course sections in the Student Information System prior to registering students.
- Assist EWD administration and staff in the collection of records and generation of reports required for audit and accreditation purposes. Participate in audit planning and follow-up meetings.
- Alert departments and supervisor of errors that may result in audit exceptions and penalties to the College. Participate in audit planning and follow-up meetings.
- Assist the Directors of Student Registration and Records and EWD Records and Compliance in supervising student registration processes including online registration through the online registration portal and walk-in registration.
- Assist the Director with conducting training for new Economic and Workforce Development directors and coordinators in contracting and registration procedures, including orienting part-time Continuing Education instructors in registration/grading/recording of attendance.
- Receive class folders from departments including registration and completed attendance/grade rosters from instructors at the end of class. Review to ensure accuracy for compliance services.
- Assist in the issuing of EWD transcripts upon student request.
- Serve as backup to the Director for preparing and transmitting required reporting for NCCCS including, but not limited to, the Institution’s Class Report and Registration Data File.
- Participate in College-wide committees as appropriate.
- Attending conferences and workshops, as appropriate.
- Maintain and expect professionalism in the performance of duties, foster collaboration, collegiality, and support.
- Perform other duties as assigned by the Vice President for Economic Workforce Development and/or the Director of EWD Records and Compliance.
MINIMUM EDUCATION QUALIFICATIONS
- Bachelor’s degree from a regionally accredited institution required.
- Master’s degree from a regionally accredited institution preferred.
MINIMUM EXPERIENCE QUALIFICATIONS
- Three years’ experience in higher education required.
- Student Affairs or Continuing Education experience preferred.
- Experience with Colleague/Datatel system and Self-Service CE functions preferred.
- Attention to detail with the capability to multi-task required.
- Excellent organizational and analytical skills required.
- Effective written, oral, and interpersonal communication skills required.
PHYSICAL REQUIREMENTS
- Generally, works in a traditional climate-controlled office environment and requires the ability to sit for extended periods.
- Some walking, standing, and bending required, and the ability to lift and maneuver items weighing up to 25 pounds.
- Work environment can be stressful at times in dealing with a wide variety of challenges and deadlines.
- In addition to regular office hours, position sometimes requires overtime and/or evening hours.
