Summary of Job Duties:Basic Functions

Provide comprehensive fiscal, clerical, admissions, and reporting support to the Career and Workforce Education division to ensure efficient operations, regulatory compliance, and high-quality service to students, faculty, and external partners.

Position Duties

30% Fiscal Support

Assist with budgeting, inventory control, and purchasing of supplies and equipment. Compile financial information to support budget development and monitor expenditures to ensure accuracy, compliance, and efficient use of resources.

30% Clerical and Administrative Support

Manage phone communications and messages; assist with event and meeting preparation; process and file documents; maintain financial and administrative records; and provide research and general administrative assistance to support agency and institutional programs, policies, and procedures.

25% Application and Admission Support

Manage and process applications for Career and Workforce Education programs. Review applications for completeness and accuracy; verify required documentation; upload and maintain application records; correspond with applicants regarding application status, missing materials, and next steps; and maintain official application files in accordance with institutional and regulatory requirements.

15% Report Compilation and Preparation

Compile and prepare reports for grants, accrediting bodies, and other agencies, ensuring accuracy, compliance with regulations and standards, and timely submission.

Knowledge, Skills, and Abilities

Knowledge

Administrative Operations: Thorough knowledge of professional office management, including complex filing systems and record-keeping procedures.

Institutional Policy: Knowledge of work-related subject areas and agency-specific programs, policies, and procedures to provide accurate information and clarifications to interested parties.

Office Software: Proficiency in standard computer applications and software used for document preparation, data entry, and communication.

Skills

Document Verification: Skilled in the examination and verification of vouchers, forms, and records to ensure absolute accuracy, completeness, and compliance.

Workflow Coordination: Proficiency in prioritizing incoming correspondence, maintaining leave records, and managing high-volume appointment calendars for leadership.

Information Gathering: Skilled in researching and compiling data into a structured report form to assist leadership in decision-making and policy revision.

Technical Proficiency: Ability to operate standard office equipment and manage digital and physical record-keeping systems efficiently.

Abilities

Administrative Support: Ability to assist a supervisor by preparing specialized reports and drafting correspondence related to departmental programs.

Compliance Review: Ability to analyze documents to determine if they meet strict agency rules, regulations, and procedural requirements.

Organizational Integrity: Ability to maintain confidentiality while handling sensitive personnel files and institutional records.

Collaboration: Ability to assist in developing or revising departmental directives based on research findings provided to the supervisor for final approval. Qualifications:

Qualifications

  • Formal education equivalent of a high school diploma

  • Experience in administrative support, fiscal operations, or data/report management.

  • Evidence of strong organizational skills and attention to detail..

  • Associate degree

  • Experience supporting grants, accreditation, or regulatory reporting..
