About This Position
The Customer Service Specialist will interact with the company's customers by addressing inquiries and resolving complaints, generally providing a higher level of customer support on specific products or services. Essential Functions, Duties, and Responsibilities
- Manage Office Receptionist, Customer Service and Clerical staff of the Reno Distribution Center. Hire, train and monitor performance for the group.
- Manage staff of Order Entry Administrative Assistants for Western Region Access SecurePak. Hire, train, and monitor performance for group.
- Ensure all customer orders are received and processed timely and accurately.
- Analyze order entry volume and workflow for department to ensure resources are properly allocated to meet customer's needs.
- Coordinate with the US Postal service for timely delivery of mail to the department.
- Monitor and track postage to ensure adequate funds are available.
- Ensure all financial transactions and bank deposits are processed timely and accurately.
- Ensure that all orders are processed and invoiced in a timely manner.
- Manage incoming phone calls and voicemails from internal and external customers.
- Research order and delivery issues for Customer Service Staff.
- Reply to all incoming emails.
- Serve as liaison between the Customer Service team and Warehouse Operations Managers.
- Maintain ongoing communication with the Region's Sales staff.
- Assist internal and external customers and resolve escalated issues.
- Develop thorough product and process knowledge.
- Conduct team meetings and training sessions with Administrative Assistants on new products, promotions, etc.
- Serve as liaison between the Customer Service team and Sales Operations Managers.
- Offer and implement suggestions for process improvement within the department.
- Motivate employees to perform job functions, as well as meet departmental and organizational goals.
- Other duties as required to contribute to department/division accomplishing objectives including employee incentives and retention.
- Complete miscellaneous duties as assigned by Western Regional VP, VP/Business Administration and VP/Controller Expedite any new orders, cancellations or revisions that are received throughout the day.
- Complete miscellaneous duties assigned by Manager.
- Order supplies and manage office equipment needs.
- Oversee all general office functions.
- All other duties as assigned.
What You'll Need
- High school diploma or Equivalent, and you must be at least 18 years of age.
- Must have Call Center Supervisor and/or Office Management experience.
- Must be a self- starter who works well with all levels of management.
- Must be detail oriented; able to remain focused in a fast-paced environment.
- Ability to lead and motivate others.
- Proficiency with technology, especially computers, software applications, and phone systems.
- Excellent verbal and written communication skills; ability to build rapport with employees.
- Fosters a positive and inclusive work/team environment of exceptional customer service by ensuring prompt responses to customer requests, responding to escalations and questions, and participating in daily operations and inbound call support.
- Call Center, customer service, and supervisory experience is a must
- (either Call Center Supervisor or Office Management experience is REQUIRED).
- Ability to remain calm and courteous under pressure and navigate tense situations.
