Job Title: Office Administrator

Location(s): San Francisco, CA

Position Summary
The Office Assistant provides administrative and front-office support for the Physical Therapy and Occupational Therapy departments. This role requires strong customer service skills, accurate financial transaction handling, effective patient communication, and coordination with clinical and administrative staff to ensure efficient clinic operations.

Required Qualifications

  • Excellent customer service and interpersonal communication skills.
  • Experience managing high-volume patient phone calls.
  • Patient scheduling experience (preferably in a clinical setting).
  • Front desk and back-office administrative experience.
  • Proficiency in Microsoft Word, Excel, and Outlook.
  • Ability to manage financial transactions accurately.
  • Preferred: Prior experience in a Physical Therapy or rehabilitation clinic
Key Responsibilities
Patient Scheduling & Communication
  • Schedule patients for Physical Therapy and Occupational Therapy services.
  • Manage incoming calls and respond to patient inquiries professionally and efficiently.
  • Communicate insurance requirements and authorization limitations to patients.

Financial Transactions

  • Collect copays and process cash, check, and credit card payments.
  • Prepare daily transactions for delivery to the Cashier in accordance with hospital policies.
  • Maintain accurate logs of all financial transactions.

Insurance & Administrative Support

  • Support the Office Coordinator with insurance authorization submissions and tracking.
  • Monitor authorization status and follow up as needed.
  • Coordinate with therapists and patients regarding insurance approvals and service limitations.
  • Perform general front and back-office administrative duties.
