The Intake Specialist plays a critical role in ensuring smooth and compliant onboarding of patient referrals. This position is responsible for accurate and timely data entry, coordination with referral sources and patients, verification of documentation, and collaboration across internal teams. Intake Specialist schedules may vary based on branch needs.
*Essential Functions & Responsibilities* * Accurately enter referrals within required timeframes while meeting productivity and quality standards. * Communicate with referral sources, physicians, and office staff to secure required documentation and signatures. * Partner with leadership to confirm appropriate inventory, equipment, and services for each patient. * Communicate with patients regarding financial responsibility; collect payments and document appropriately. * Review medical records for non-sales-assisted referrals to ensure compliance prior to service delivery. * Follow company procedures to determine appropriate shipping and delivery methods. * Answer inbound calls promptly and provide effective assistance. * Apply expert knowledge of payer guidelines to evaluate clinical documentation and determine qualification criteria. * Obtain compliant documentation from referral sources in a timely manner to support the referral process. * Update patients when documentation is incomplete or does not meet payer standards, and offer alternative options when appropriate. * Collaborate with the sales team to secure required documents and support referral source relationships. * Navigate multiple EMR systems to obtain clinical documents and information. * Work closely with the insurance verification team to ensure accuracy for patient benefits and billing. * Participate in oncall rotation during nonbusiness hours per company policy. *Skills & Competencies* * Ability to interact professionally with patients, referral partners, and internal staff. * Strong analytical, decisionmaking, and problemsolving skills with high attention to detail. * Excellent verbal and written communication skills. * Strong customer service mindset and telephone etiquette. * Proficient in Microsoft Office and comfortable learning new technologies. * Ability to manage multiple priorities in a fastpaced environment. * Able to follow written, verbal, and diagrammatic instructions. * Ability to work independently and collaboratively. * Technical aptitude with an understanding of system workflows and data flow between applications. *Education & Experience* *Required:* * High school diploma or equivalent * Relevant experience in healthcare administration, insurance, billing, customer service, call center operations, or similar fields *Preferred:* * Associate's degree in Healthcare Administration, Business Administration, or related field * Experience within healthcare organizations, pharmacies, HME, DME, Medicare-certified services, or insurancebilling environments *Employee Value Proposition (EVP)* This role is an excellent opportunity for individuals exploring career paths in healthcare administration. The role is offered as a fourmonth contract, with potential (but not guaranteed) conversion to fulltime based on business needs and budget availability. *Work Environment & Physical Demands* * Extended periods of sitting at a computer workstation; repetitive typing required. * Occasional standing, bending, and lifting up to 10 pounds. * Professional office environment with periods of high urgency during authorization deadlines or appeals. * Requires proficiency with computers, payer portals, EMR systems, and healthcare software. * Must maintain confidentiality and demonstrate strong attention to detail. * Requires professional communication skills for interaction with payers, providers, and internal teams. * Ability to work independently and remain focused with minimal supervision. * May require extended hours during peak workloads. *Job Type & Location* This is a Contract to Hire position based out of Springfield, MO. *Pay and Benefits*The pay range for this position is $18.00 - $20.00/hr.
