Fueling Your Passion

As a Department Administrator II, you will play a key role in ensuring timely, accurate, and compliant chemical order processing. You will work closely with Account Managers, Logistics, Operations, and Billing teams to support seamless order lifecycle management. Your attention to detail, strong communication skills, and commitment to accuracy will directly contribute to our operational success and customer satisfaction.

As a Department Administrator II, you will be responsible for:

  • Accurately entering chemical orders submitted by Account Managers through OMS into Job Center

  • Ensuring all order components-including product details, quantities, pricing, delivery requirements, and shipping information-are properly validated

  • Communicating with Account Managers to resolve discrepancies or obtain missing information

  • Monitoring order status to ensure timely and errorfree processing

  • Performing PGI actions once deliveries are confirmed

  • Verifying shipment details for accuracy prior to PGI completion

  • Escalating missing PODs or discrepancies to ensure compliance and proper documentation

  • Maintaining accurate documentation to support internal controls and regulatory requirements

  • Providing responsive and professional support to Account Managers regarding order status, delivery issues, and documentation needs

  • Collaborating closely with Logistics, Operations, and Billing teams to ensure seamless order lifecycle management

  • Supporting internal and external stakeholders through timely communication and effective problemsolving

To be successful in this role you will:

  • Have experience in customer service, order processing, supply chain, or a related field

  • Have proven experience using SAP (order management, PGI processing, logistics, or inventory modules)

  • Have proficiency with Microsoft tools including Excel, Outlook, Teams, Word, SharePoint, and OneDrive

  • Have strong accuracy and attention to detail in data entry and documentation

  • Have the ability to prioritize and manage multiple tasks in a fastpaced environment

  • Have excellent written and verbal communication skills

We recognize that everyone works differently. This role follows a standard fulltime schedule aligned with business operational needs.

This is a hybrid position, with Monday and Friday designated as workfromhome days, while the remaining days are onsite based on regular shift requirements.
