Coho Integrated Solutions is seeking a reliable and detail-oriented Medical Appointment Clerk to support clinic operations at MacDill Air Force Base in Tampa, Florida. MacDill AFB operates one of the largest Air Force medical facilities, serving more than 30,500 enrollees, including approximately 24,100 Total Force servicemembers.

Provides all personnel necessary to perform appointment clerk services as defined below. Services shall be performed in accordance with applicable DoD regulations, TRICARE policy, HIPAA requirements, and local Medical Treatment Facility standard operating procedures.

Responsibilities (include but are not limited to):



  • Schedule medical appointments via telephone, secure messaging, and other approved communication methods in accordance with local appointing guidelines.
  • Support Primary Care Manager (PCM) by-name processing and ensure appropriate access-to-care timeframes when allocating standard appointment types.
  • Maintain appointment schedules using Government computer systems including Composite Health Care Systems (CHCS), AHLTA, or MHS GENESIS.
  • Validate patient eligibility through the Defense Enrollment Eligibility Reporting System (DEERS) and update demographic information as required.
  • Register new patients into the system when necessary, including newborns.
  • Maintain accurate and up-to-date patient schedules, logs, and appointment records.
  • Utilize Government system tools and standard protocols (detail codes, freezing slots, TRICARE Online usage) to manage appointment slots, rescheduling, and cancellations.
  • Contact patients to schedule, reschedule, or cancel appointments as needed.
  • Prepare and distribute appointment reminders, no-show notifications, and reschedule/cancellation notices via phone or form letters.
  • Create and deliver telephone consult messages (t-cons) to Primary Care Managers and clinic nursing staff in accordance with established clinic procedures.


Essential Job Qualifications and Requirements:



  • Citizenship:


    • Proof of US Citizenship is required to work on this contract



  • Education and Certifications:


    • High School Diploma or General Educational Development (GED) equivalency required
    • Basic Life Support (BLS) certification required



  • Required Experience and Knowledge:


    • At least 6 months of experience in medical office scheduling
    • Medical Terminology Desired.


  • Duty Hours:


    • 40 hrs/wk, Mon-Fri (federal holidays off) 7:00AM - 4:30 PM, with a one-hour uncompensated meal break.
    • No evenings/nights. Overtime is not authorized. On call not authorized.



  • Physical Requirements:


    • Frequently lifts, carries or otherwise moves and positions patients weighing 60+.
    • Frequently bends, kneels and crouches. Repetitive movement of hands, arms and legs, and pushing/lifting. Continuous walking, standing and moving about.

  • Physical Requirements: This position requires visual acuity, keen hearing, clear distinctive speech, and manual dexterity, potentially long periods of continued walking, standing, stooping, sitting, bending, pulling, and pushing. Transferring patients and objects may be required. May be exposed to infected patients and contaminated materials and may be required to don protective clothing in isolation situations, operative/invasive procedures, may occasionally be exposed to patients who are combative secondary to delirium, dementia, or psychiatric disorders. Must be a flexible, functional individual capable of working effectively in stressful situations, able to shift priorities based on patient needs.
