Position Highlights

The Program Coordinator serves as the primary point of contact for two designated programs - the Circles of Holistic Care (COHC) program within the University of Arizona Cancer Center (UACC) and the Integrative Medicine in Hematology Oncology (IMHO) Fellowship within the Tucson College of Medicine's Department of Medicine. This position takes functional direction from Dr Reya Sharman, the director for the COHC program and the IMHO fellowship director.
The COHC program is aimed to bring integrative medicine services to patients and caregivers treated at the UACC. This program aims to integrate traditional medicine and therapies with Western cancer treatments to improve health outcomes, build resiliency for survival and encourage patient well-being. This role plays a critical part in planning, executing, and facilitating delivery of holistic care therapies and practices for this program.
This role also provides administrative support for the Integrative Medicine in Hematology Oncology (IMHO) Fellowship Program. The Fellowship Coordinator role is estimated to be about 30% of the role.

Duties & Responsibilities

COHC - Program Execution and Delivery

  • Plan and coordinate the delivery of holistic care therapies and practices for UACC patients and caregivers.
  • Promote, plan, and facilitate both in person and virtual holistic care sessions and events for UACC patients and caregivers. The sessions and events could be planned on Saturdays (and/or weekends).
  • Distribute information and provide education to patients and caregivers regarding holistic care therapies, practices, and upcoming events. This may include visiting patients during clinic hours, visiting hospital waiting areas, infusion rooms etc. to promote this information.
  • Lead the Monthly Advisory Group meeting. Share summary of metrics, progress, current events, future events, and gather feedback from group members on any recommendations, and future plans to implement.
  • Collaborate with other departments to promote holistic care therapies and practices (AWCIM, Communications & Marketing, Banner).
  • Coordinate referrals to integrative services.
  • Assess patient interest in holistic care programs and evaluate participant satisfaction.

COHC - Administrative and Operations

  • Maintain the event registration system to ensure it remains current with COHC classes and events.
  • Initiate and manage contracts with holistic therapy providers.
  • Provide administrative support to the program director in the development of stakeholder reports.
  • Coordinate logistical pieces of sessions and events such as setting up the meeting space (physical and/or virtual), inviting speakers or facilitators, inviting participants, and assistance during the event.

IMHO Operations

  • Monitor and document fellows' progress in their didactic, clinical and research requirements by maintaining accurate records of hours and milestones and managing the REDCap database to support this accountability. This includes University of Arizona fellows and well as fellows from other institutions such as Mayo Clinic.
  • Invite speakers to present at the monthly Fellowship Journal Club in collaboration with and based on feedback from the fellowship director.
  • Serve as a primary point of contact for fellows regarding program policies, resources, and reimbursement of approved expenses.
  • Assist in preparing reports for grantors and throughout the grant submission process.

Knowledge, Skills, and Abilities:

  • General understanding and knowledge of oncology and/or integrative medicine care.
  • Ability to communicate effectively, both orally and in writing.
  • Ability to plan, implement, and evaluate complex in-person and virtual programs and events.
  • Strong organizational, administrative, and interpersonal skills.
  • Ability to work on multiple projects.
  • Ability to exercise sound judgment, maintain confidentiality, and ensure operational efficiency.

Minimum Qualifications
  • Minimum of 3 years of relevant work experience, or equivalent combination of education and work experience.
  • Bachelor's degree or equivalent advanced learning attained through professional level experience required.
Preferred Qualifications

  • Bilingual/Multilingual preferred.
  • Experience working with the Tribal and Indigenous People of Arizona.
  • Experience working with various groups.
