Learn more about the benefits of working at UC Brief Summary of Job Duties: Under the supervision of the Director of Student Engagement and Leadership, the Campus Organizations and Activities Coordinator is responsible for advising RCOs, coordinating and approving campus event scheduling, and supporting various SEAL operations. The Coordinator serves as a co-campus approver for scheduling of venues in the General Assignment Inventory and other assigned venues for all non-academic events. They support RCOs with billing for campus services and coordinate approval and denials of services based on its respective workflow. The Coordinator supports the front-line implementation of registered campus organizations on behalf of Student Engagement & Leadership (SEAL) by providing support, education, and general advising to students. The work is of an intermediate complexity and addresses routine matters that are escalated from student peers, while referring highly complex, sensitive, or high-risk matters to the Director. The Coordinator maintains effective working relationships with registered campus organizations (RCOs), serving diverse populations, facilitates networking and coalition building among various student communities, campus departments, committees, and provides guidance and direction to RCOs. The Coordinator supports SEAL staff with the internship program, events, marketing and other projects. Required Qualifications:

For reference, below are UC's policies addressing some forms of misconduct: UC Sexual Violence and Sexual Harassment Policy UC Anti-Discrimination Policy Abusive Conduct in the Workplace Job Functions and Percentages of Time: 30% Campus Event Scheduling Coordination & Event 360: Serves as an approver for requests by all campus users to reserve General Assignment Inventory spaces (i.e. classrooms, lecture halls, and outdoor spaces). Referencing to the multiple campus policies that govern reservations, constituent priority levels, and reservation fees; and balancing the need to optimize the utilization of campus resources to maximize cost efficiency and minimize the impacts of the campus' limited/impacted space resources: approves, reassigns, or denies reservation requests (usually within 5 business days for current-quarter requests). Based on previous historical inventory usage, anticipates future space needs and proactive communicates with clients to: reminds them to submit space reservations early; negotiates potential interdepartmental conflicts; reduces potential conflicts between simultaneous events (e.g. amplified sound, large crowds, etc.). Applies creativity and problem solving to address potential and actual space conflicts by efficiently and diplomatically communicating with clients. Takes initiative to improve upon scheduling workflow in AdAstra in conjunction with the Office of the Registrar. Serves as a scheduling liaison as a matter of campus security, community health and safety, and campus resource management to a wide variety of impacted units, including UPCD, CSO, Fire Marshal, Central Stores, Business Services, Facilities Management, Recreation, and the University Center. Supports event 360 reviews, and follow-up and tracking of all committee requirements of RCOs, implements committee's final approval. 30% Registered Campus Organization (RCO) Billing: Serve as a liaison between campus services & students to coordinate payment, make approvals on behalf of SEAL and ensure timely communication between all parties. Tracks approval of invoices, organizes and monitors email communication, and upholds workflows to ensure consistency. Works closely with the RCO Accountant to submit documentation, balance accounts, and resolve payment discrepancies in a timely manner. 20% General SEAL Support: Supports the department with the intern program, projects, events and marketing. Serves as co-lead administrator for the After Dark funding program, which provides funding to RCOs for non-alcohol centered ("alternative") social programming on behalf of SEAL. Co-leads a team of several Student Life Interns in the quarterly administration of RCO fairs, which gives the campus community an opportunity to learn about and join organizations. Supports all aspects of the event including design, publicity, logistics, budgeting, and evaluation. 20% RCO Advising and Coordination: Advises organization leaders on a wide range of RCO matters including registration, accounting, member recruitment, event planning, and risk management. Only very rare, complex, and/or high-risk matters are further escalated to the management team. Supports the implementation of the annual RCO registration process, which registers approximately 550 organizations, including fraternities and sororities. Designs a registration process that includes collection of critical organization data, registration and contracting of organization officers, and training of officers in essential RCO administration procedures and leadership practices.
