Position Summary: The Grants Manager is responsible for the overall management, compliance, and strategic oversight of NewView's grant funding portfolio. This role requires independent decision-making and discretion in identifying funding opportunities, managing grant applications, overseeing compliance with funding requirements, and ensuring the effective use of grant resources. The Grants Manager serves as a key liaison between NewView Oklahoma and external funders, governmental agencies, and internal departments to align grant strategies with the organization's mission.

Essential duties and responsibilities:

  1. Identify, research, and assess new grant opportunities that align with NewView's mission and financial needs.
  2. Oversee compelling grant proposals and funding applications, ensuring strategic alignment and compliance with funder guidelines.
  3. Collaborate with department heads to gather relevant program and financial data to support grant applications.
  4. Oversee and manage the organization's compliance with all grant requirements, including federal, state, and private funding guidelines.
  5. Maintain accurate records of grant agreements, deliverables, and reporting deadlines, ensuring timely submission of reports.
  6. Analyze grant-related data and generate impact reports for funders and internal stakeholders.
  7. Work with Finance and Program teams to track grant spending, reallocate funds as necessary, and ensure budget adherence.
  8. Serve as the primary point of contact for grant funders, responding to inquiries and coordinating site visits, audits, and evaluations.
  9. Develop and maintain relationships with grant officers and funding representatives to strengthen long-term funding opportunities.
  10. Represent NewView Oklahoma in grant-related meetings, networking events, and community collaborations.
  11. Establish and maintain grant-related policies, procedures, and best practices to ensure efficiency, transparency, and regulatory compliance.
  12. Assist in the development of internal processes to improve grant tracking, reporting, and fund utilization.
  13. Train and advise internal teams on grant-related policies, financial tracking, and compliance.
  14. Assist in the creation of thank you letters, invoices, and necessary follow-up for receipt of gifts, contributions, in-kind support, planned giving, or grant-related funding.
  15. Update HubSpot with financial records, contacts, gifts, and follow-up tasks, where appropriate.
  16. Participate in team meetings, workgroups, and organization-wide initiatives to support NewView's overall fundraising and development goals.
  17. Perform others duties as assigned.

Qualifications (Minimum education, experience, training, licensure, certification):

  • Requires 1 - 2 years' experience working in grant compliance, budgeting, or contract administration.
  • Experience utilizing customer relationship management tools (HubSpot) is a plus.
  • Must possess and demonstrate strong communication skills, and a keen attention to detail.
  • Ability to manage multiple projects with varying priorities at one time.
  • Strong analytical skills with the ability to interpret grant regulations and ensure compliance.
  • Demonstrated experience in grant writing, research, and proposal development.
  • Ability to exercise discretion and independent judgment on matters of significance.
  • Strong organizational skills with the ability to manage multiple projects and deadlines.
  • Excellent written and verbal communication skills, including the ability to present complex financial or programmatic information clearly.
  • Proficiency in Microsoft Office and experience with HubSpot, preferred.

Physical Requirements:

  • Light Work - Exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force

frequently, and/or a negligible amount of force constantly (Constantly: activity or condition exists 2/3 or

more of the time) to move objects. Physical demand requirements are in excess of those for Sedentary Work. Even though the weight lifted may be only a negligible amount, a job should be rated Light Work: (1) when it requires walking or standing to a significant degree; or (2) when it requires sitting most of the time but entails pushing and/or pulling of arm or leg controls; and/or (3) when the job requires working at a production rate pace entailing the constant pushing and/or pulling of materials even though the weight of those materials is negligible. NOTE: The constant stress and strain of maintaining a production rate pace, especially in an industrial setting, can be and is physically demanding of a worker even though the amount of force exerted is negligible.
