Position Summary

The University of Southern Indiana seeks applications for a Nursing Admission Coordinator for the Kinney College of Nursing and Health Professions. The Nursing Admission Coordinator manages the full admissions cycle for BSN and graduate nursing programs. This role reviews applicants for eligibility, coordinates communications, maintains accurate student and graduate records, supports licensure processes, and ensures compliance with accreditation and state requirements. The coordinator works closely with program leadership to deliver a smooth applicant and student onboarding experience.

Duties/Responsibilities

Admissions Coordination & Applicant Vetting:
* Serve as the primary operational point of contact for BSN and graduate nursing admissions.
* Review and verify applicant files for completeness and eligibility against published admission criteria (e.g., prerequisite completion, GPA thresholds, test scores, required documentation, background checks if applicable).
* Flag discrepancies and escalate exceptions to the Program Chairs per governance policy.
* Prepare applicant summaries and decision-ready packets for faculty/committee review.
* Coordinate admission decisions and next step communications to applicants.
* Assist with sending welcome packets, plans of study, and advisor assignments for newly admitted students.

Communication & Candidate Experience:
* Manage admissions email inboxes and phone lines; provide timely, accurate responses to prospective and admitted students.
* Guide applicants through requirements, timelines, and next steps; provide status updates and set clear expectations.
* Coordinate admissions events (info sessions, webinars), and track attendance/engagement.

Data Integrity, Systems & Reporting:
* Maintain accurate, current records in admissions and student information systems (e.g., CRM, SIS) for prospects, applicants, admits, enrolled students, and graduates.
* Reconcile data across systems to ensure consistency with program rosters and official census files.
* Generate routine and ad hoc reports (e.g., applicant funnel metrics, decision outcomes, yield, deposits, enrolled headcount) for leadership and accreditation planning.
* Support audit readiness and data validation for state and national accreditation needs.

Licensure & Certification Support:
* Assist graduating students with nursing licensure and certification application processes (e.g., timelines, required documentation, state board portals, verification of education forms).
* Coordinate with the Registrar and program leadership to ensure timely submission of graduation/degree verification required for licensure and certification.
* Track licensure application status and maintain graduate outcome data.

Compliance & Policy Alignment:
* Apply admissions policies consistently and in alignment with program handbooks, catalog language, and accreditation/state requirements.
* Protect confidential student information (FERPA) and maintain secure records.
* Identify policy/process gaps and recommend updates to enhance compliance and clarity.

Collaboration & Process Improvement:
* Partner with Program Chairs and the Assistant Dean on admission cycles, capacity targets, and cohort composition.
* Coordinate with clinical placement, advising, registrar, financial aid, and marketing to ensure smooth applicant progression and onboarding.
* Document workflows and standard operating procedures (SOPs); propose efficiency improvements and technology optimizations.

Required Knowledge and Skills



  • Associate's degree required.

  • 2+ years in admissions, student services, academic program coordination, or related higher ed/healthcare administration.

  • Experience managing high-volume communications and sensitive records.

  • Proficiency with student information systems (SIS), CRM platforms, and MS Office (Excel, Outlook, Teams).

  • Ability to communicate effectively, both orally and in writing, with various constituents including students, professional organizations, government agencies, vendors, and other offices within the University.


Preferred Knowledge and Skills



  • Experience in nursing or health professions education.

  • Familiarity with nursing licensure and certification processes.

  • Experience supporting accreditation reporting (CCNE/ACEN, state regulators).

  • Knowledge of FERPA and data governance best practices.


Regular Work Hours/Travel Requirements


  • Standard office hours are Monday through Friday, 8:00 am to 4:30 pm. An occasional change in schedule may be required to accommodate program needs.
  • Occasional overtime may be required.

About the College

The faculty in the Kinney College of Nursing and Health Professions work collaboratively with nursing and other health care professional faculty. The support for faculty's teaching, practice and scholarship activities are substantially enhanced through grants and other extramural funding. A cutting-edge Clinical Simulation Center is used to enhance student learning and support innovative teaching.

The college, in addition to university support, has a four-person technology team that supports the online and in-classroom teaching for the MSN and DNP program courses. A dedicated Advising Center for the College provides support for student advising and related activities. All programs are fully accredited and have an exemplary record of grant award successes.
