POSITION SCOPE

The Receptionist serves as the first point of contact for visitors, callers, and employees and plays a key role in maintaining a professional, welcoming, and organized front-office environment. This position is responsible for managing daily front-desk operations, directing communications, supporting administrative tasks, coordinating office logistics, and assisting staff with general office needs. The ideal candidate is professional, organized, resourceful, and able to manage multiple priorities while providing excellent customer service

PRIMARY DUTIES



  • Greet and assist visitors, clients, vendors, and employees in a courteous and professional manner.
  • Answer, screen, and route incoming calls through a multi-line phone system.
  • Provide accurate information in person, by phone, and by email, or direct inquiries to the appropriate department.
  • Manage front-desk activities, including visitor check-in, badge issuance, and office access procedures.
  • Receive, sort, and distribute incoming mail, packages, and deliveries.
  • Receive, review, and route incoming invoices by filtering and processing documentation, then distributing to Accounts Payable staff using OnBase.
  • Maintain a clean, organized, and professional reception area and common front-office spaces.
  • Perform general administrative and clerical support, including filing, scanning, copying, faxing, data entry, and document preparation.
  • Maintain and update filing systems, calendars, office records, and databases.
  • Assist with scheduling meetings, coordinating travel arrangements, and preparing related documents or vouchers.
  • Monitor and order front-office and office supply inventory as needed.
  • Support office staff with administrative and project-related tasks.
  • Run general office errands and perform other duties as assigned


REQUIREMENTS



  • Applicants must be at least 18 years old
  • High School Diploma or equivalent
  • Valid Driver's License
  • Proficiency in Microsoft Office, including Word and Excel.
  • Strong keyboarding, organizational, and data entry skills.
  • Detail oriented with the ability to successfully organize tasks or projects
  • Strong verbal and written communication skills.
  • Professional attitude and appearance
  • Solid written and verbal communication skills


Ability to be resourceful and proactive when issues arise
