Position Purpose

The Loan Administration Specialist is responsible for delivering high quality customer service. This role involves working effectively with Customers, Loan Officers and support staff, as well teammates in other areas including Credit, Accounting, and Compliance. Responsibilities include servicing of all products in the Bank's commercial and consumer loan portfolio, complying with Bank policies, regulations, and laws.

Position Responsibilities



  • Loan Transaction Processing and Support functions for commercial and consumer loans, including monetary transaction processing to the Bank's core loan accounting systems:


  • Loan payments
  • Credit line draws - posting to loan account, funding proceeds to internal or external account
  • Escrow payment and disbursement
  • Process physical payment items, scanning batched items for system upload/posting.
  • Performing any related balancing and verification procedures
  • Upload required supporting documents to loan file as applicable
  • Manage queue of assigned cases in timely fashion, adhering to service level requirement


  • Setup and Maintenance activities, including:


  • New customer profiles
  • New loan account setup
  • Activation and funding of new loan accounts
  • Post all associated transaction fees and costs to loan and ledger accounts
  • Renewal and modification of existing loans
  • Loan rate and payment adjustment
  • Periodic update of collateral-based borrowing limits on individual loans
  • Loan account address changes (with verification procedures)
  • Maintenance of collateral holds on deposit accounts
  • Periodic update of Variable Rates in core system reference file


  • Information Requests and Customer Service activities, including:


  • Loan Account Statements, history, and amortization schedules
  • Billing and Payment inquiries
  • Balance Confirmation Letters
  • Confirmation of loan structure, terms and conditions
  • Assistance with information requests related to audit and review


  • Special Transactions and Relationships, including:


  • Process Monitored Credit Line Draws subject to borrowing base or other collateral limits
  • Construction Loan Draws, confirm that requirements are met on limits, inspections, collateral searches, and other verifications
  • Payments and Advances related to multi-bank participation and syndication loans
  • Maintenance of complex multi-property credit facilities, coordinating lien recordation and release process, and monitoring receipt of filing receipts
  • Serviced Government Guaranteed Loans: processing daily payment/advance ledgers from third-party servicer, including related remittances, receipts, and balancing tasks


  • Loan Payoffs:


  • Issuance of Loan Payoff statements, to internal clients and third parties, after reviewing applicable terms, conditions, and fee requirements
  • Posting Loan Payoff transactions to loan system, with collection of applicable fees, and review of applicable conditions. Perform maintenance to collateral records as needed
  • Release of collateral liens as applicable, provide notice to borrower, upload final transaction documentation to loan file.


  • Other Duties as Assigned, including:


  • Participation in department activities to promote quality and efficiency
  • Participate in development and implementation of new processes/procedures
  • Assist with reconciliation research and troubleshooting as needed
  • Thoroughly cross-train to support all functions within the team, to ensure depth of coverage and contribute to effective management of peak period workloads


Required Skills and Competencies:



  • High School Diploma
  • 4 years of general experience in a commercial loan admin, operations, or servicing role


Technical Knowledge and Skills



  • Experience with commercial bank core systems (FiServ Premier/Navigator a plus)
  • Experience with commercial loan servicing and monetary transaction processing
  • Understanding of basic loan transaction accounting and balancing
  • Working knowledge of lending and banking policies, procedures, and regulations
  • Familiarity with commercial loan documents and products
  • Understanding of loan collateral and liens
  • Aptitude to learn banking software applications and processing procedures.
  • Strong organizational skills, ability to work with assigned service cases in a timely fashion
  • Excellent written and oral communication skills
  • Strong attention to detail
  • Experience with Microsoft Office Suite, specifically Excel, Word, and Outlook


Compensation



  • Base Salary Range: $31.25 - $40.86 hourly. Final determination of where you are at in the salary range is based on numerous factors such as geographic location, relevant experience, skill set, education, and ability to meet qualifications within the job description.
  • Additional Compensation: This role will include a yearly annual target bonus based on individual performance.



Working Arrangements



  • This is a hybrid role expected to work in office Monday, Tuesday, Thursday, and Friday. This person can sit out of our Rockville headquarters. You will be able to work remotely on Wednesday.
