| Job Summary |
The Program Coordinator supports the planning, coordination, and execution of programs, projects, and events with a strong focus on operational excellence, stakeholder service, and team collaboration. This role requires professionalism, effective communication, attention to detail, and the ability to adapt to evolving needs. The Program Coordinator plays an essential role in supporting Program Managers, Directors, and internal teams while ensuring that all activities align with organizational goals and contribute to high-quality outcomes. |
| Minimum Education and Experience |
Bachelor's degree in a related field, with 3-5 years of experience directly related to the duties and responsibilities specified; or an equivalent combination of education and experience. |

| Essential Duties and Responsibilities |
Team Engagement and Support
- Maintain a professional, welcoming, and approachable presence for colleagues, visitors, and stakeholders, both in the office and at events.
- Engage with Program Managers, Directors, and teammates to support program objectives and ensure success.
- Prepare thoroughly for meetings, review relevant materials, and contribute with confidence.
- Demonstrate flexibility and responsiveness to evolving needs, assisting with logistics and program execution.
- Build subject matter expertise in assigned areas and seek training opportunities that strengthen competencies.
Communication and Collaboration
- Communicate clearly, consistently, and professionally across all platforms, prioritizing both internal and external communication needs.
- Maintain accurate and timely information in project management tools such as Monday.com.
- Adapt communication approaches to shifting priorities and dynamic environments with a solution-oriented mindset.
- Bring unresolved challenges to leadership and collaborate with Program Managers and Directors to address issues effectively.
- Collaborate with fellow Coordinators to balance workload and ensure program continuity.
Stakeholder Support and Relationship Management
- Support stakeholders by responding to inquiries within twenty-four hours.
- Use active listening and strategic thinking to understand stakeholder needs, program goals, and research focus areas.
- Demonstrate a strong understanding of the Office of Research and Innovation departments to connect stakeholders with the appropriate resources.
- Guide stakeholders through university procedures, policies, and best practices with professionalism and clarity.
Operational Excellence
- Exercise sound judgment in prioritizing workload, managing deadlines, and ensuring accuracy and completeness in all tasks.
- Manage challenging conversations thoughtfully and respectfully, focusing on solution-based communication.
- Ability to lift, lower, carry, push, or pull up to twenty-five pounds as necessary to support event and program materials.
Professional Excellence
- Maintain professional office etiquette and demonstrate integrity, accountability, and high standards in all interactions.
- Model professionalism through punctuality, productive use of office hours, and adherence to organizational standards.
- Maintain a professional appearance and demeanor in all interactions, including events and meetings.

- This position may require occasional night and weekend hours with advanced notice per program needs.
- Ability to lift, lower, carry, push, or pull up to twenty-five pounds as necessary to support event and program materials.

- Must be able to sit or stand at will for extended periods frequently throughout the workday.
- Must be able to perform frequent to constant repetitive keyboarding functions to complete job tasks.
