| About the Department |
Enrollment Management and Services provides critical services to students, parents and visitors to NC State University working across the student life cycle, from identifying prospective students, through graduation and beyond.
The Department of Registration and Records is responsible for recording and safeguarding student academic records. Registration and Records also provides administrative support to many other campus departments. Important functions of the office include: fulfilling campus requests for data; producing student transcripts and enrollment verifications; maintaining curriculum requirements; monitoring enrollment; creating the schedule of classes; maintaining the course catalog; and monitoring overall functionality of registration, graduation, curriculum changes, etc. in the student information system. Additionally, Registration and Records processes inter-institutional registrations with other schools in various consortia, and certifies veteran educational benefits. |

| Essential Job Duties |
The Assistant Registrar provides strategic leadership to ensure the accurate, accessible, and effective delivery of academic information that supports student success and institutional priorities. This role oversees university scheduling, classroom and event management, and course data integrity to optimize resources and align academic operations with curricular needs. It leads the development and continuous improvement of systems and processes that support scheduling and catalog management.
The position also directs engagement strategies to translate complex academic information into clear, consistent messaging for students, faculty, staff, and the public. Through assessment and collaboration, the Assistant Registrar drives continuous improvement in services, systems, and user experience across Registration and Records. |
| Other Responsibilities |
Strategic Leadership, Supervision & Operations (35%)
- Lead academic scheduling operations, including supervision of scheduling staff and optimization of classroom assignments.
- Oversee event scheduling and management of centrally scheduled classroom spaces.
- Represent Registration & Records on curriculum committees to align scheduling with academic needs.
- Serve as an escalation point for advanced scheduling, classroom, and exam-related issues.
- Support walk-in office traffic and responding to student inquiries via phone or email, ensuring a high level of service and responsiveness.
Systems, Data & Academic Infrastructure (30%)
- Ensure accuracy and integrity of course inventory information in SIS and the published catalog through audits and maintenance.
- Oversee administration and continuous improvement of scheduling, event management, catalog, and engagement systems.
- Develop and maintain documentation, processes, and training for campus scheduling officers and catalog owners.
- Manage the academic catalog lifecycle, including coordination, editing, and publication.
Engagement, Communication & Assessment (35%)
- Lead departmental engagement strategy with campus partners, including supervision of engagement staff.
- Oversee support and development of department websites, communications, and public-facing materials.
- Ensure clear, consistent, and accessible messaging for students, faculty, staff, and the public.
- Coordinate assessment efforts, track outcomes, and recommend data-informed improvements for the department.
- Support student services through direct assistance and collaboration with the Student Services Center and other units within Enrollment Management and Services.
- Support the planning, communication, and creation of materials around the University Commencement ceremony.

Qualifications
| Minimum Education and Experience |
- Bachelor's degree; or an equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions
|
| Other Required Qualifications |
- Excellent customer service skills, judgment, and problem solving
- Proficiency in Microsoft Office products (Word, Excel)or similar software packages
- Strong written and verbal communication skills
|
| Preferred Qualifications |
- Experience in higher education
- Familiarity with the operations of a registrar's office and understanding of university academic, curricular, and legal policies (FERPA) that pertain to the functions of a registrar's office
- Familiarity with Peoplesoft or another Student Information System
- Familiarity with course scheduling software, specifically Ad Astra
- Familiarity with CourseLeaf or associated products
- Familiarty with Slate for engagement purposes
- Comfortability with Adobe Suite products
- Comfortability with Wordpress web editing
