Manage upcoming groups and events, and meet clients' needs through active communication, planning, and team leadership.
Responsibilities
- Provide excellent service for all events and act as the primary sourcing resource for all BEO's at the hotel.
- Manage staff scheduling, inventory records, filing, staff training compliance,
- Assist banquet director with appointments, meetings group contacts and event planners prior to functions, and ensure all arrangements are acceptable.
- Review and interpret banquet event orders to ensure proper set up, timelines, menus are accurate.
- Manage vendor coordination, as needed
- Maintain office systems, including filing, answering phones and managing event calendar
- Respond quickly and effectively to in-house Resort clients, group and guest needs.
- Perform a wide range of tasks and duties to support banquet operations and FB division management.
- Liaison between departments to ensure all guests' needs are met.
- Communicate effectively and professionally with all guests, banquet associates and internal departments.
- Anticipate and resolve any issues with a calm and collected demeanor.
- Effectively follow up on special banquet or event arrangements to ensure compliance.
- Follow all company safety and security policies and procedures, including reporting any maintenance problems, safety hazards, accidents or incidents.
- Comply with attendance rules and be available to work on a regular basis.
- Process PO's.
- Respond promptly to inquiries on event, data.
- Assist Director with site walkthrough, if required
- Attend assigned meetings, taking notes and distributing meeting minutes
- File daily recaps, follow through on any recap identified queries
- Perform any other job related duties as assigned
Qualifications
- 1+ year in banquet operations is required.
- High School Diploma required; Bachelor's Degree preferred
- Working knowledge of applicable sales system (micros, Delphi, ways), Word, Excel Power point presentation, Outlook, iBuyEfficient required.
- Advanced knowledge of hotel features, benefits, and competing hotels
- Excellent creative skills to provide innovative set-ups, menus, and functions for groups.
- Able to set priorities, plan, organize, and distribute.
- Ability to work effectively under time constraints and deadlines.
- Ability to work flexible hours, as needed, including weekends to support operations
- Effective verbal and written communication skills. Ability to adapt communication style to suit different audiences, such as effectively communicating with supervisors, coworkers, public etc.
