Department: Classroom to Career Hub (C2) Events Coordinator

The Classroom to Career Hub is designed to permeate boundaries betweenMSUDenver and industry leaders, and create opportunities to connect students and the business community for career and workforce development. Accordingly, high profile events and activities must be implemented as signature events according toMSUDenver brand standards and as a high-level presidential priority for the C2 Hub.

Under the leadership of the Director of Operations & Systems, the Events Coordinator serves as the principal interface for events, and is responsible for end-to-end event production for C2 Hub's signature and recruiting events, and for providing consulting and select event support as applicable for other events hosted by teams throughout the C2 Hub.

Responsibilities include end-to-end event planning, logistics, facilitation, promotion, and resource management. They will manage the full cycle of signature and recruiting events from inception to completion, ensuring excellent guest experience and campus partner satisfaction. The Events Coordinator must have keen attention to detail and will build a vision for all signature events for the C2 Hub.

Key Responsibilities

C2 HUB and Campus Recruiting Events Management (80%):

  • Under the supervision of the Director of Operations & Systems, the Events Coordinator will partner with programmatic teams throughout the C2 Hub to set and activate vision for events and related activities. This includes but is not limited to the coordination of signature C2 Hub event activities and selected Campus Recruiting events.

Event Planning, Project Management & Operations

  • Arrange for and manage all logistics for events including, but not limited to, venue reservations, rental equipment, audio/visual arrangements, catering, parking.

  • Arrange for and manage all on-site facilitation and operational features for events including set-up, clean-up, staffing, signage, check-in; monitor operations of event and venue throughout entire event; act as concierge and be visible and approachable to answer questions from attendees, exhibitors, presenters, faculty, staff, vendors and volunteers.

  • Ensure all aspects of the event venue are optimized for exhibitor and participant experience, the accomplishment of which may require that the Event Coordinator be flexible as needed and personally perform activities such as rearrangement of seating and tables, and set up of easels, audio/visual equipment, power strips, etc.

  • Manage all administrative tasks for events including registration platform, event dashboard, budgets, purchasing, and maintaining records such as accounts payable/receivable, exhibitor/ attendee participation, award winners, and others as applicable.

Communications & Promotion

  • Serve as the primary point of contact and event expert for internal clients and external clients as it relates to specific event engagement for events.

  • Manage all communications arrangements in partnership with the Communications Coordinator, programmatic leaders, and campus partners; including planning, internal communications, external communications, promotion of event, and information sharing and communications leading up to and in follow-up to the event.

  • Collaborate with C2 Hub and campus partners to recruit student and employer participants while offering expert program and event production advice. Perform analysis of events and offer recommendations for improving programs/events.

  • With keen attention to detail, maintain internal and external calendars of events for on-campus career readiness and recruitment activities including on-campus interviews and career fairs and C2 Hub events.

Data Collection & Program Analysis

  • Collect and report on data including experience surveys, participation analysis, and other inquiries as they are needed; Identify and track measurable outcomes for all events.

  • Maintain an accurate CRM/CSM database, and serve as a user expert of the applicable modules within that tool.

  • Prepare realistic and attainable event timelines and ensure internal and external partners are kept updated and on schedule.

  • Organize and lead event debriefs with collaborators for what worked well, and items that need to be addressed (added, removed, changed) for future iterations.

Budget & Supplies Management

  • Manage timely vendor payments (Accounts Payable), and remain apprised of current purchasing and vendor policies.

  • Manage event registration invoicing and payments (Accounts Receivable), with prompt follow-up on outstanding invoices.

  • Maintain program-specific and annual event budget tracking.

  • Build and maintain an asset management system for tracking materials used for events and those that are checked out by other team members for smaller tabling events.

  • Ensure event supplies are kept organized, and work with team to order replacements or refills of consumables as needed.

Supervision and Management (20%):

  • Supervise a team of students; Recruit, hire, train, and develop a team of student staff to support outreach and event activities

Required Qualifications

  • Bachelor's degree or equivalent combination of education and professional experience in event or program management, with two years of experience considered equivalent to one year of education

  • Experience designing and executing events that align with organizational goals and enhancing participant experience

  • Experience leading and managing multiple events or projects simultaneously

  • Experience managing event operations (e.g., budgets, logistics, vendor coordination)

  • Experience using tools (e.g., Excel, Google Sheets) for tracking or reporting

  • Experience coordinating with internal and external stakeholders

Preferred Qualifications

  • Experience working in higher education or student-facing environments or membership-based organization

  • Experience using CRM or event management systems to track engagement

  • Experience with design tools (e.g., Adobe Creative Suite, Canva)

  • Experience supporting programs, events, or services designed for student populations with varied backgrounds, identities, or access needs

Work Hours

  • Full-time, 40 hours per week, Exempt

  • Monday - Friday, 8:00am - 5:00pm

  • Evenings and weekend work: Rare

  • On-site

  • Travel: Rare

Salary for Announcement

We anticipate the qualified candidate to be placed between $41,626 - $52,000 The salary of the finalist(s) selected for this role will be set based on a variety of factors, including but not limited to, internal equity, experience, education, specialty and training.

The above salary range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.
