In the role of Administrative Assistant, you'll report to the Office Principal to assist in the operations of the office and limited project support. We are seeking a motivated self-starter who is looking for an opportunity to support a rapidly growing office and build a career. This position will support HDR's upcoming downtown Nashville location. Responsibilities: We'll count on you to:
- Provide administrative functions for office support for staff, such as, phone coverage, mail and shipping handling, meeting scheduling and expense report processing
- Greet guests, clients, and company personnel with professionalism and a friendly demeanor
- Coordinate meeting facilities, prepare meeting materials, and manage logistics
- This will apply to the Office, as well as project support as needed
- Assist in organizing office events and activities, ensuring smooth execution including (but not limited to) arranging catering and budget development
- Assist in budgeting or handling specific accounting tasks as needed for office operations
- Draft, edit, and organize documents such as reports and forms with attention to grammar and formatting
- Create and manage Excel spreadsheets and PowerPoint presentations
- Handle sensitive and confidential information with professionalism and discretion
- Respond to inquiries regarding office policies and procedures
- Organize and order office supplies, maintaining an efficient and organized inventory system
- Keep the office orderly with some light cleaning
- Perform other duties as required
Preferred qualifications:
- Local candidates preferred
- Associate degree or a minimum of three years of experience in an administrative, project coordination, customer service, or support role
- Exposure to project management, workflow, or business systems (such as project tracking tools, scheduling software, CRM platforms, or document management systems), with the ability to navigate systems, enter data accurately, and quickly learn new tool
- Basic experience with data tracking, reporting, or project documentation, including working in spreadsheets, verifying information for accuracy and completeness, and assisting with standard or ad hoc reports to support project, operational, or business needs.
- Experience supporting coordination- or delivery-related processes, such as project setup, meeting coordination, scheduling, tracking action items, or maintaining organized project files and record
- Event planning experience such as coordinating with vendors, caterers, venues, and event logistics highly preferred
- Familiarity with collaboration and content management tools (such as SharePoint, Teams, shared drives, or knowledge-based platforms) and maintaining well-organized, accurate documentation or resources.
- Demonstrated interest in building a career in project coordination, operations, or professional services support, with a willingness to develop organizational, communication, technical, and customer-service skills.
Required Qualifications
- High School diploma or equivalent
- A minimum of 3 years experience in administrative support
- Knowledge of MS Office Suite, including Word and Outlook
- Excellent verbal and written communication skills
- Professional, self-motivated, well-organized and detail-oriented with the flexibility and ability to prioritize and handle multiple tasks in a fast-paced environment
- Ability to meet deadlines
- Knowledge of A/E industry desired
- Experience working in an office environment
- An attitude and commitment to being an active participant of our employee-owned culture is a must
