Associate Project / Program Manager - Job Description
Role Overview
The Associate Project/Program Manager supports a multi-disciplined real estate team by providing programmatic and project support for commercial, corporate, and medical facilities (including oncology and nuclear medicine). This role supports projects from business strategy through concept development, scoping, sourcing, construction, activation/occupancy, and ongoing operations. Key project delivery focus areas include task management, documentation and information management, document routing and tracking, budgeting, forecasting, and other duties supporting end-to-end portfolio and project management and overall department functionality.
Key Responsibilities
Project Management Support
- Support Project Managers in the creation and maintenance of project documentation using standardized delivery approaches, templates, and best practices across all project phases.
- Assist PMs in developing and implementing corrective action plans to address schedule, scope, cost, and quality variances.
- Anticipate and respond to client and project team needs and concerns to ensure successful project outcomes.
- Support sourcing and procurement activities by preparing documents and tracking approvals to ensure timely execution of project goals.
- Manage multiple projects and tasks concurrently while maintaining accuracy and organization.
- Track and report critical project metrics to enable forecasting of project health, risks, budget, and schedule.
- Oversee preparation of accurate, timely, and complete project reports.
Portfolio Planning & Management
- Support the Delivery Portfolio Director and Project Managers with project and portfolio data management, including retrieving, organizing, maintaining, and archiving data in alignment with defined workflows and controls.
- Interact regularly with internal service lines and external partners to support delivery success.
- Serve as the primary interface between clients and the Lease Administration team to address lease-related information requests.
- Manage client inquiries, coordinating with contributing team members to deliver timely and accurate responses.
- Apply end-to-end (E2E) project management knowledge and related lease functions, including:
- Tenant Improvement Allowance (TIA) processes
- Use clauses
- Work letters
- Demonstrate the ability to read and understand general lease terms, including renewals, terminations, and self-help provisions.
- Own and execute team administrative responsibilities.
Reporting, Dashboards, & Analytics
- Identify, develop, and maintain reporting tools, dashboards, and analytics to support project and portfolio visibility.
- Support continuous improvement initiatives by documenting processes and proposing workflow enhancements.
- Apply process improvement methodologies and effective change management practices.
- Maintain a general understanding of systems administration relevant to project reporting and data management.
- Leverage AI tools and approved automation to streamline routine work (e.g., meeting notes, action tracking, document drafting, and status updates), while ensuring accuracy and protecting sensitive information.
- Identify opportunities to automate reporting and data movement (e.g., dashboard refreshes, data quality checks, approvals routing) using low-code tools and integrations aligned with established processes and controls.
- Help maintain simple governance practices for AI-enabled work, including version control, prompt/library hygiene, and auditability.
Minimum Qualifications
- 3+ years of project management experience within capital delivery and/or real estate environments.
Experience in medical and/or commercial sectors preferred.

- Advanced proficiency with Microsoft 365 tools (Excel, Word, Project, PowerPoint, Visio).
- Comfort adopting new digital tools, including AI-assisted productivity capabilities, to improve efficiency and deliverable quality.
- Working knowledge of automation concepts (workflows, triggers, approvals, integrations) and ability to partner with technical teams to implement scalable solutions.
- Strong data hygiene skills, including validation of AI/automation outputs and adherence to privacy, security, and records requirements.
- Ability to bring structure, organization, and clarity in ambiguous situations.
- Practical knowledge of sourcing, contracts, and project management practices.
- Process- and results-focused mindset with a passion for client satisfaction, quality, sustainability, and innovation.
- Demonstrated ability to meet deadlines independently, solve problems, and exercise sound judgment under pressure.
- Curious and proactive approach to learning industry and market trends relevant to client needs.
- Professional composure when addressing urgent real estate matters.
Minimum Requirements: Degree or equivalent and typically requires 2+ years of relevant experience.
Education
- Bachelor's degree preferred, or equivalent relevant experience.

- Certified Cost Control credentials or other relevant project management certifications
