POSITION SUMMARY:



Responsible for supporting the Chairman and performing numerous administrative duties. This role will interact with all levels of the organization, customers, and vendors, and will be expected to multi-task, prioritize, and maintain a strict level of confidentiality. The person in this role is to work closely with the Chairman in the development, implementation, and maintenance of various King Aerospace programs.



ESSENTIAL DUTIES AND RESPONSIBILITIES include the following.




  1. Answer, screen, and direct phone calls for the Chairman in a professional manner.
  2. Accountable for monitoring, reading, and corresponding to emails.
  3. Compose and prepare confidential correspondence and documents.
  4. Collecting and preparing information for meetings, recording meeting minutes, obtain responses and maintain records.
  5. Responsible for gathering information from all King Aerospace locations and assisting the Chairman in drafting, proofing, printing, and distributing the quarterly company newsletter and monthly blog.
  6. Responsible for making complex global travel arrangements and accommodations, preparing detailed travel plans, itineraries, and agendas.
  7. Arrange and coordinate special events.
  8. Maintain an organized filing system of both paper and electronic documentation.
  9. Manage an extremely active calendar for both personal and professional obligations. Work closely and effectively with the Chairman to keep him well informed of upcoming commitments and responsibilities and following up appropriately.
  10. Oversee multiple priorities for the Chairman across King Aerospace's business, personal ranch, and residence.
  11. Responsible for overseeing the Chairman's ranch activities, maintaining financial records and holding the ranch foreman accountable for performance. Responsible for submitting weekly status reports to the Chairman regarding ranch activities and finances.
  12. Complete critical and miscellaneous tasks regarding business and personal matters, that facilitates the Chairman's ability to effectively lead the company.
  13. Responsible for any other duties reasonably required by the Chairman.

Qualifications

QUALIFICATIONS / SKILLS




  • Must be able to pass a typing, grammar, and spelling test.
  • Excellent written and interpersonal skills.
  • Excellent organizational skills, attention to detail, and ability to multi-task.
  • Ability to manage priorities to meet deadlines in a fast-paced environment.
  • Proficient computer skills, including Microsoft Office Suite (Word, PowerPoint, and Excel), Microsoft Project and WordPerfect.
  • Ability to work in a very direct and assertive working environment.
  • Must be able to obtain security clearance as necessary.



EDUCATION/EXPERIENCE:




  • Bachelor's degree - business or related degree.
  • Minimum of 7-10 years of experience as an Executive Assistant reporting directly to senior management.
  • Previous military experience is a plus.



WORK ENVIRONMENT:



This is not a remote position. You are required to be present at KAI's home office during normal work hours, which are 8:00 a.m. - 5:00 p.m., Monday through Friday.



PHYSICAL DEMANDS:



While performing the duties of this position, the employee is regularly required to walk, sit, and talk or hear, stand, and reach with hands and arms. The employee must frequently lift and / or move up to 10 pounds and occasionally lift and / or move up to 25 pounds.
