Burns is currently seeking a Project Accounting Administrator to join our Accounting & Finance team in our Philadelphia, Pa office.

Summary:

The Project Administrator is responsible for all aspects of project contract administration which includes contract billing, financial issues, preparation of budget with input from Project Manangers (PM's) on technical hours, etc. as required by contract for budget approval, booking of project sales and routine communication with the project managers regarding financial contract issues.

Essential Duties & Responsibilities:



  • Maintain contract information within Deltek Vantagepoint including information regarding billing rates, involving format, budgets and expenses that can or cannot be invoiced. Any other unusual financial requirements should be documented.
  • Run monthly project status meetings with PM's and assist PM's in monitoring and controlling project budgets.
  • Follow up monthly with client contact regarding outstanding accounts receivable and report to both the PM and Accounting Manager when payment can be expected.
  • Expedite budget revisions by following up with PM on actions required to get additional funds from client.
  • Prepare and submit monthly project invoices, ensuring that invoicing format meets client's needs, including client follow-up after the first invoice is issued.
  • Provide input to Accounting and Project Manager regarding Budget Overruns-have funds been requested, if not, why not and what is being done to increase budget.
  • Document Financial contract changes and make sure that all original contract documents are filed electronically in the project folders.
  • Prepare budget spreadsheets as required with input from the Project Manager per client direction.
  • Perform other contract analysis as requested.
  • Review and enter subconsultant invoices in Deltek; Monitor subconsultant budgets and approved rates to ensure they comply with the contract.
  • Issue project numbers for new contracts or extensions of current contracts
  • Enter and Tracks project sales booking within Deltek.


Education & Experience

Associate degree (A. A.) or equivalent from two-year college or technical school and 2-5 years related experience and/or training; or equivalent combination of education and experience.
