The Department of Anesthesiology at Mass General Brigham-an internationally recognized leader in clinical care, research, and education-is seeking a highly skilled Executive Administrative Assistant to provide direct support to the Chair of Anesthesiology as well as the Executive Vice Chair. This role is based primarily at Brigham and Women's Hospital, with occasional onsite needs at Massachusetts General Hospital, and follows a hybrid schedule of three days onsite and two days remote after an initial onsite probationary period.
Working in a suite alongside physicians and seniorlevel leaders, this position delivers advanced administrative and secretarial support within a fastpaced academic medical environment. The role requires exceptional professionalism, communication skills, discretion, and the ability to manage complex and confidential matters with sound judgment. Key responsibilities include heavy and proactive calendar management, ensuring daily preparedness for the Chair and Executive Vice Chair, coordinating travel and reimbursements, preparing presentations and project materials, ordering supplies, and managing benevolence gifts on behalf of the Chair (e.g., for births, bereavements, and special occasions). Additional duties include drafting correspondence, maintaining files and budget records, and supporting broader programmatic initiatives for candidates interested in expanding their scope. Does this position require Patient Care? No Essential Functions -Perform secretarial and administrative duties for an executive or chief. -Manage schedule, arrange appointments, travel, meetings including coordinating documents, refreshments and resources, and conference calls. -Prepares correspondence, meeting minutes or executive summaries. -Maintains files and office supplies, budget records, reconciles and verifies expenses, and completes reimbursements. -Work requires some analysis and use of initiative and independent judgment. -Remain knowledgeable of corporate policy. -Often called upon to interpret and communicate executive or board's intent to other employees. -Assists other administrative/executive assistants, and may assist with orientation and training of staff. -May make contacts of a sensitive, complex, and confidential nature. -Completes routine tasks under minimal supervision.
