THE POSITION

The Department of Military & Veterans Affairs, is searching for an independent, responsible candidate to fill our Clerical Assistant 2 position at the Gino Merli Veterans Center. DESCRIPTION OF WORK

This role provides comprehensive HR support by assisting visitors and applicants, coordinating pre-employment tasks, managing electronic personnel files, processing mail and documents, supporting employee self-service needs, and maintaining confidentiality while contributing to safety, training, and continuous improvement initiatives.

Responsibilities in this role include:

  • Greeting visitors, answering questions, and assisting with employment forms.

  • Coordinating interviews, physicals, and other pre-employment steps.

  • Uploading, certifying, and purging documents in eOPF according to policy.

  • Processing mail, phone calls, copies, and general administrative tasks.

  • Preparing and proofreading forms, letters, and HR correspondence.

  • Scanning and routing FMLA, medical, and workers' compensation documents.

  • Assisting employees with ESS and supporting new-hire orientation.

  • Participating in required training, QAPI efforts, and safety procedures.

Work Schedule and Additional Information:
  • Full-time employment, 37.5 hours per week.
  • Work hours are 8:00am to 4:00pm, Monday thru Friday with a 30-minute lunch.
  • Telework: You will not have the option to telework in this position.
  • Salary: Selected candidates who are new to employment within the Commonwealth of Pennsylvania will begin employment at the starting annual salary of $36,108 (before taxes).

REQUIRED EXPERIENCE, TRAINING & ELIGIBILITY

QUALIFICATIONS
Minimum Experience and Training Requirements:

  • Six months as a Clerical Assistant 1 (Commonwealth job title or equivalent Federal Government job title, as determined by the Office of Administration); or
  • Graduation from high school; or
  • An equivalent combination of experience and training.

Additional Requirements:
  • You must be able to perform essential job functions.

Preferred Qualifications (not required):
  • Completion of a high school business curriculum.
  • Previous experience working in a clerical position.
  • Previous experience working in Microsoft Excel.
  • Previous experience working in SAP or SRM entering shopping carts/work orders.

Legal Requirements:
  • This position falls under the provisions of the Older Adult Protective Services Act.
    • Under the Act, a conditional offer of employment will require submission and approval of satisfactory criminal history reports, including but not limited to, PA State Police and FBI clearance.
  • A conditional offer of employment will require a medical examination.
