Job Summary

South Mountain Community College is hiring an Administrative Specialist Senior to support the myCareer, Library, and Center for Teaching and Learning Division. This position supports faculty in the delivery of innovative, student-centered instruction by providing a variety of administrative services.

Essential Functions

25% - Provides administrative support to the divisions; maintains financial and academic records/files; maintains and updates web pages according to established guidelines; maintains master calendar by scheduling appointments, programs, committees, and divisional meetings/events; provides office reception; manages multi-line phone system; assists with the planning and implementation of various divisional events/programs and services including intercampus collaborations; supports the division by using technological skills and business systems such as FMS, ERS, HCM, SIS, Google Calendar/Drive/Sheets/Slides/Docs, R25 reservation system, etc.

25% - Monitors and coordinates services such as maintenance, media, marketing, and word processing with college/district departments and external organizations; coordinates and provides research assistance on special projects and programs; maintains statistical data for programs and services; creates purchase orders and requisitions; maintains and tracks petty cash forms, tracks expenditures; assists with budget preparation, monitoring, and maintenance assists with division mail pick up and distribution;

25% - Assists Faculty Chair with division responsibilities including but not limited to managing substitute instructor requests and paperwork, scheduling residential, adjunct, and dual enrollment instructor evaluations, room utilization/scheduling, division classes, internal and external meetings, and meeting rooms. Maintains meeting minutes and monitors completion of action items.

25% - Supports the divisions by collaborating with faculty and other staff when needed/requested; accessing class rosters; ordering and delivering supplies to instructors and classrooms; making copies of course materials; providing basic computer-related support; preparing and maintaining confidential personnel; ensuring documents (e.g. faculty and budget documents) remain current; assisting with faculty orientation; developing divisional promotional materials; monitoring and ordering textbooks, performs other assigned duties commensurate to the grade level of position.

Minimum Qualifications

Associate's Degree from a regionally accredited institution and two (2) years of administrative office support or related experience providing a wide variety of secretarial, administrative office support and/or administrative coordination activities.

OR

High School/GED from a regionally accredited institution and four (4) years of administrative office support or related experience providing a wide variety of secretarial, administrative office support and/or administrative coordination activities.

Desired Qualifications
  1. Bachelor's degree or higher.
  2. Three (3) years of experience in an advanced administrative support position.
  3. Experience maintaining expenses, requisitions, and purchases in a financial management system such as FMS.
  4. Experience reporting, building, and scheduling course information in systems such as SIS.
  5. Experience scheduling meetings and events using applications such as Google Calendar, Doodle, and 25Live.
  6. Experience creating and using spreadsheets and productivity applications such as Microsoft Office and Google apps (Google Docs/Slides/Sheets).
  7. One (1) year of full-time, relevant MCCCD experience within the previous two (2) years.


Special Working Conditions
  • May be required to view/use a computer monitor for a prolonged period of time.
  • Work requires in-office presence for the majority of the time, with some flexibility for remote work.
  • May be required to sit for a prolonged period of time, viewing a computer monitor.
  • May be required to lift or carry up to 25lbs.
