| Job Duties |
The
ECU, College of Nursing is seeking a full-time Administrative Support Associate to serve as the lead support for the College of Nursing (
CON), Department of Baccalaureate Education. The person in this position serves as administrative support to the Department Chair and as the liaison between the Dean, the Director of Student Transitions,
ABSN Director,
RIBN Director, and RN-
BSN Director. The employee also shares the responsibility of supporting approximately 50 faculty in the department. Responsibilities are carried out for the department, primarily administrative functions such as submission of college and university forms, preparation of travel reimbursement, recording and preparing minutes of departmental meetings and the typing of confidential material such as faculty evaluations, personnel letters, and other items that should remain confidential within the department. This administrative support position is responsible for assisting the Department Chair for the Department of Baccalaureate Education with general administrative duties such as: being the primary contact person for the office, overseeing the Department Chair's calendar, scheduling appointments and meetings, completing travel for the entire Department Baccalaureate Education, placing all orders for this department and reconciling the departmental budget on a monthly basis.

Interpersonal Skills and Knowledge of Program: The Administrative Support Associate position is in the Department Baccalaureate Education and serves as the liaison between the Dean, the Director of Student Transitions,
ABSN Director,
RIBN Director, and RN-
BSN Director. The employee is the principal contact person for the Department Chair of the Department Baccalaureate Education and is knowledgeable about all aspects of the undergraduate programs. This employee must take the initiative and exercise good judgment in the decisions that represent the college and the Department Chair. This individual will be responsible for screening requests to meet with the Department Chair for urgency and content and may need to delegate those requests to others to preserve the time of the Department Chair for those items that need her direct attention. This employee will be able to work independently and rely on his or her own judgment and experience. This employee will need to keep the Department Chair's calendar and informed of potential meetings. This employee will need to anticipate and resolve scheduling conflicts with the Department Chair's schedule without consulting the Department Chair. This employee will be responsible for interacting with upper-level university officials, College of Nursing Administration, and other disciplines in the Division of Academic Affairs.
15% Problem Solving:
This employee will serve as the liaison between the faculty, staff, and other administrators and the Department Chair. This employee is knowledgeable about all aspects of the college and of all programs in the Department of Baccalaureate Education, as well as state and university policies and procedures. The Department Chair's office must be capable of responding rapidly to frequent changes that occur daily therefore, this employee must be a critical thinker, be adaptable and flexible, have a strong work ethic, and have excellent time management skills.
10% Communication - Written:
This employee will independently research, develop, and compose materials, text and templates which may include memos, letters, reports, or syllabi, and presentation materials for the Department Chair. The employee must be an expert with Microsoft Word. This employee must anticipate the needs to initiate written communication to correspondence or reports prior to the Department Chair's request.
10% Information/Records Administration:
The employee is responsible for overall record keeping activities and processing of forms for the Department Chair's office and must be competent with the use of Excel spreadsheets. This includes tracking faculty annual requirements and maintaining a database of preceptors. This employee is responsible for maintaining files for the office of the Department Chair for the undergraduate department. These files consist of minutes and forms, agendas, travel related to the Department Chair, faculty and students, and various general and confidential correspondence. This employee will be responsible for assisting with annual reports concerning enrollment, retention, and graduation rates.
10% Budget: This employee will be responsible for working with the department chair to obtain a monthly reporting of departmental expenses. This employee will keep track of budgetary costs and keep the Department Chair informed of any excessive expenditures and/or concerns with the budget. The employee will prepare all travel documents for the Department Chair and all faculty in the Department of Baccalaureate Education which is approximately 50 people.
10% Office Technology:
This employee will be responsible for accessing information in the
ODS, Banner, Faculty 180, Tracdat, RefWorks, Canvas, Chrome River, and eTrac programs and utilizing it effectively. This employee will also need to be proficient in the use of Microsoft Word and PowerPoint to assist with the development of oral and poster presentations for local, national, and international conferences. |

Experience in a medical or academic setting with supervisory training and/or experience.
