Position Summary
The Alumni Relations & Event Coordinator position is responsible for planning and executing high-profile Graduate School events and maintaining relationships with graduate alumni of the University of Georgia. Responsibilities include scheduling, planning, and implementation of Graduate School events that serve alumni, current graduate students, donors, and the public. This position will also communicate and coordinate closely with Development and Alumni Relations, as well as the offices of the President and Provost.
Knowledge, Skills, Abilities and/or Competencies

  • Ability to engage effectively with various stakeholders, including upper administration, faculty, staff, students, and alumni
  • Ability to represent the Graduate School's mission as a primary point of contact for alumni engagement and event planning
  • Excellent professional communication and collaborative planning skills
  • Knowledge of protocol for hosting events with high-level attendees
  • Familiarity with graduate education and fundraising strongly preferred

Duties/Responsibilities
Serve as primary coordinator and contact for high-profile Graduate School events.

  • Work with the dean's office and other relevant offices on campus (e.g., offices of the President and Provost) to schedule events
  • Secure room reservations, catering, and decorations
  • Coordinate with the Director of Marketing and Communications for all event promotion (e.g., invitations, social media)
  • List appropriate events (open to public and/or to general graduate student/faculty/staff audiences) on UGA master calendar
  • Handle attendee RSVP / registration
  • Prepare event briefings for President, Provost, Dean of the Graduate School, and other upper administration attendees as appropriate
  • Prepare venue for events and complete event breakdown as appropriate
  • Coordinate with Business Office to ensure invoices are paid

Coordinate Graduate School activities and events hosted by Graduate School Directors

  • Work with Graduate School Directors and the Dean's Office to schedule events and assist in planning as requested
  • Maintain internal Graduate School calendar for planning purposes and ensure that Graduate School events are scheduled to avoid conflicts
  • List appropriate events (open to public and/or to general graduate student/faculty/staff audiences) on UGA master calendar
  • Send reminders to event leaders to conduct evaluations with attendees

Coordinate alumni relations for the Graduate School and serve as liaison to UGA office of Development and Alumni Relations

  • Serve as primary point of contact for UGA graduate alumni
  • Serve as point of contact for Graduate Education Advancement Board
  • Plan and lead alumni outreach and engagement efforts
  • Work with Dean to develop and communicate strategic fundraising priorities to Graduate Education Advancement Board
  • Coordinate with UGA Development and Alumni Relations on fundraising efforts and donor relations
