OVERVIEW

The primary purpose of the GME & Hospital Administrative Coordinator position for the day-to-day administrative responsibilities of the Residency Program and/or Hospital Administration Department. This position assists the Program Director (PD), Graduate Medical Education (GME) Leadership, and Hospital Administrative Leadership Teams. This position assists in developing and maintaining the educational quality of the training program along with ensuring compliance with all accreditation standards and other regulatory requirements. This position functions as a liaison between the PD, physicians, residents, GME Offices, participating sites, and all other departments. This position should be knowledgeable about compliance and regulatory requirements at the various sites. This position reports to multiple directors.

Shift: M-F; 8-5p; may vary based on events/meetings

Location: Lake Geneva Clinic

Pay Range: $43,687.53-65,531.29

ESSENTIAL DUTIES AND RESPONSIBILITIES

GME Administrative Duties and Responsibilities

  • Coordinates educational activities that support the GME program's curriculum and adhere to ACGME Requirements.

  • Coordinates non-clinical aspects of the program while providing guidance on GME Policies/Procedures.

  • Assists in supporting compliance to GME policies/procedures and accreditation requirements.

  • Coordinates creation, dissemination, and monitoring of all annual schedules and maintains accuracy.

  • Coordinates creation, dissemination, and monitoring of all program evaluation processes.

  • Manages Residency Duty Hours Reports and Compliance and indirectly supervises the timeliness of academic performance evaluations and timekeeping.

  • Assists in planning, developing, and implementing quality improvement activities.

Other General Duties and Responsibilities

  • Processes Physician payroll, reimbursements, and timekeeping.

  • Coordinates Physician scheduling; manages AMION.

  • Participates in the onboarding and orientation of new physicians and locums.

  • Prepares correspondence, reports, spreadsheets, meetings, quarterly production reports, etc. in coordination with leadership.

  • Pulls data for the completion and analysis of clinic data and reports.

  • Maintains Administrative Leadership calendars; assist in scheduling meetings, conference, etc.

  • Assists with preparation of special events and forums.

  • Take the necessary actions in the absence of the manager or director, as necessary.

  • Other duties as assigned based on department need

EDUCATION AND/OR EXPERIENCE

  • Bachelor's Degree, preferred.

  • Three years related experience and/or training

OTHER SKILLS AND ABILITIES

Ability to follow both written and oral instructions accurately and consistently.

Technical Skills

  • Proficiency with software applications such Microsoft Office along with database software preferred.

LEVEL OF SUPERVISION

General Supervision

The supervisor provides general guidelines, priorities, and deadlines, but the employee is expected to use initiative to complete recurring tasks independently. Specific instructions are given only for new or unusual situations.

PAY RANGE:

$43,687.53 - $65,531.29
