Position Summary

Odyssey has an exciting opportunity for a Senior Administrative Professional at supporting Air Force Material Command (AFMC) and the Armament Directorate (AFLCMC) at Robins AFB, Georgia. In this role, you'll provide essential administrative and operational support to senior Air Force program leadership. You'll manage calendars and meetings, prepare official correspondence and briefings, coordinate travel through DTS, track action items and suspenses, and keep organizational work-flows running smoothly. Responsibilities

Duties include, but not limited to:

    Prepare reports, papers, briefings IAW DAFH 33337 and AFMC communications policies; draft correspondence IAW AFMAN 33326
  • Provide administrative assistance: write/edit emails, draft memos, and prepare communications on leadership's behalf
  • Maintain appointment calendars and conference room schedules; assist leadership with scheduling and updates/changes
  • Organize and coordinate meetings/conferences, including engagements with outside organizations
  • Collaborate across organizations within leadership's span to proactively plan future engagements; make inquiries and follow up when more information is needed
  • Answer telephones, forward messages, respond to routine queries; screen/direct calls or visitors appropriately
  • Serve as the organization's travel clerk using Defense Travel System (DTS) functions IAW the Defense Travel Administrator's Manual.
  • Coordinate, consolidate, analyze, distribute, and monitor action items, suspenses, and responses for the assigned organization level
  • Provide inputs and recommendations on administrative and officemanagement processes and procedures
  • Assist with preparation/updates to program office filemanagement documents; maintain comprehensive and accurate records.
  • Prepare agendas, reports, and briefings for staff meetings; assist with organizational workflows
  • Perform timekeeper duties (e.g., ATAAPS)


Qualifications

Citizenship: Must be a US citizen

Minimum Required Qualifications

Clearance: Secret

Education/Years of Experience: Associates + 15 years Relevant Experience (RE) OR Bachelors + 10 years RE OR Masters + 7 years RE

Technical Skills

  • Proficiency in DoD/AF Administrative Standards & Documentation. Ability to prepare reports, briefings, and official correspondence IAW DAFH 33337, AFMC communications templates, and AFMAN 33326; strong attention to formatting, document control, and compliance.
  • Expertise in Administrative Systems (DTS, ATAAPS, SharePoint, MS Office). Handson capability using Defense Travel System (DTS) for travel arrangements, ATAAPS for timekeeping, and Microsoft Office/SharePoint for file management, meeting documentation, and workflow support.
  • Operational Tracking & Data Management Skills. Ability to coordinate and monitor action items, suspenses, EPBs/OPBs, meeting records, schedules, and organizational documents with accuracy and consistency-aligned with the structured tasktracking and documentation practices referenced in enterprise files.

Interpersonal Skills

  • Strong Communication & Professional Writing Skills. Clear, concise email writing, memo drafting, briefing support, and coordination across leadership and external stakeholders-skills reflected in company expectations for both administrativeoriented roles.
  • RelationshipBuilding & CrossFunctional Collaboration. Ability to work seamlessly with internal teams, senior leaders, and outside organizations; collaborate across organizational boundaries; and support distinguished visitor engagements-aligned with interpersonal competencies cited in internal role descriptions.
  • Time Management & Prioritizing Under Deadlines. Skill in managing calendars, competing suspenses, meeting preparation requirements, and work-flow execution in a fastpaced environment-similar to the organizational discipline highlighted in internal resumes and role templates.
