JOB DESCRIPTION/DUTIES:

The Grants Management Specialist will provide administrative, technical, analytical, and documentation support for NIMHD federal grants management activities. The ideal candidate will assist federal staff with pre-award application review and award processing; post-award administrative, financial, and monitoring activities; and documentation, tracking, reporting, and operational support. This role requires strong organizational skills, careful attention to detail, and the ability to manage multiple priorities while supporting compliance with grants policies, procedures, and documentation requirements.

Task 1: Pre-Award Support

* Assist federal staff with administrative, technical, and analytical activities associated with grant application review and award processing.

* Review application materials and budgets for completeness, consistency, and alignment with administrative requirements.

* Prepare summaries, spreadsheets, and analytical documentation related to administrative and budget components of grant applications.

* Identify missing documentation, incomplete submissions, and potential compliance issues for federal staff review.

* Prepare draft administrative documentation and correspondence for review and approval by federal staff.

* Upload, organize, and maintain pre-award documentation in grant files and electronic grant systems.

Task 2: Post-Award Support

* Compile, collect, and organize financial and administrative information and documents related to awarded grants for federal staff review.

* Review submitted reports for completeness and identify items requiring additional federal review or follow-up.

* Prepare summaries of tasks and actions needed for administrative requests, including budget revisions, carryover requests, and key personnel changes.

* Maintain tracking tools related to expenditures, obligations, administrative milestones, funding activities, and post-award actions.

* Support documentation preparation, collection, organization, and uploading related to grant monitoring and closeout activities.

* Coordinate with federal staff and other stakeholders to help resolve documentation, budget, and administrative issues in a timely manner.

Task 3: Documentation and Program Support

* Prepare draft correspondence, reports, briefing materials, and other grants management documentation for federal staff review.

* Maintain organized grant documentation and electronic grant files, including the collection and tracking of requested missing items.

* Develop, update, and maintain tracking tools and spreadsheets used to support administrative reviews and grants management operations.

* Assist federal staff with research, analysis, and documentation related to grants management policies, procedures, and process improvements.

* Use MS Office, SharePoint, IMPAC II, QVR, databases, and other grant systems to support documentation, tracking, analysis, and reporting needs.

EDUCATION/EXPERIENCE/EXPERTISE REQUIREMENT:

* Bachelor's degree (B.A. or B.S.) in Health or Medical Administrative Services, Management Information Systems, Statistics, Business Management, Business Administration, Public Administration, Finance, Medical Administration, or a related field.

* Minimum of 1 to 5 years of experience as a Grants Management Specialist or in a related grants administration, administrative, financial, or program support role.

* Knowledge of grants policy and regulations, grant administration, grant receipt and funding tracking, grants funding analysis, and federal grants documentation requirements.

* Experience supporting pre-award and post-award grants activities, including application review, budget review, award processing support, administrative requests, monitoring documentation, and closeout support.

* Ability to review budgets, reports, and administrative documentation for completeness, consistency, and potential issues requiring additional review.

* Experience preparing summaries, spreadsheets, correspondence, reports, briefing materials, and other analytical documentation.

* Proficiency with MS Word, MS Excel, databases, and tracking tools used to manage grant documentation and administrative reviews.

* Excellent organizational skills, strong attention to detail, and ability to multi-task efficiently in a deadline-driven environment.

* Strong written and verbal communication skills.

* U.S. Citizenship.

PREFERRED EDUCATION/EXPERIENCE/EXPERTISE:

* Experience supporting NIH, HHS, NIMHD, or other federal grant programs.

* Familiarity with IMPAC II, QVR, SharePoint, eRA Commons, or similar federal grants management systems and repositories.

* Experience conducting price/cost analysis or preparing budget and funding documentation for federal grants.

* Experience maintaining tracking tools for expenditures, obligations, administrative milestones, grant receipt, and funding activities.

* Experience supporting grant monitoring, closeout, budget revisions, carryover requests, or key personnel change documentation.

* Prior experience supporting government clients or contracts.
