JOB SUMMARY: The Property Project Assistant supports the coordination and administration of ARC Command property projects from initial intake through project closeout. This position assists with project tracking, approvals, vendor coordination, project documentation, TSAMM workflow processing, invoice tracking, and communication with field personnel, contractors, consultants, and Territorial Headquarters to ensure projects progress efficiently and in compliance with organizational requirements. ESSENTIAL JOB FUNCTIONS:
- Review and process property and non-property related projects for the field.
- Provide project checklists and guidance to field personnel to assist with project planning and implementation.
- Build and maintain electronic project files for all active projects.
- Coordinate project intake, approvals, and project workflow tracking through TSAMM.
- Record and track project invoices, verify budget availability, and process invoices for payment through A/P Workflow.
- Receive, review, and compile all required project checklist documents and supporting materials.
- Prepare and organize project packages for review by Command Finance Council (CFC).
- Submit to Territorial Headquarters all contracts and property projects recommended by Command Finance Council and monitor projects through final approval.
- Notify field personnel and internal departments regarding project status updates and approvals.
- Coordinate with vendors, consultants, contractors, landlords, and field personnel regarding project timelines, permits, required documentation, and project progress.
- Assist with permit tracking, project scheduling, and project closeout documentation.
- Process Property Web addition and deletion requests.
- Promptly notify THQ Property Department of ARC site closures with copy to the Risk Management Department.
- Maintain bring-up and follow-up systems for active property projects and approvals.
- Perform other duties as assigned.
QUALIFICATIONS:
- High School Diploma required.
- Previous experience in project coordination, construction administration, facilities, or property management preferred.
- Experience with Microsoft Office products including Excel, Word, Outlook, and MS Project preferred.
- Strong organizational and multitasking skills.
- Experience maintaining databases, tracking spreadsheets, and electronic filing systems.
- Ability to work independently and meet deadlines in a fast-paced environment.
- Effective written and verbal communication skills.
- Professional judgment and integrity in handling confidential information.
PHYSICAL REQUIREMENTS:
- Ability to sit, walk, stand, bend, squat, climb, kneel, and twist on an intermittent or continuous basis.
- Ability to grasp, push, pull objects such as files, file cabinet drawers, and other office equipment.
- Ability to communicate clearly in person and by telephone.
- Ability to perform repetitive motion tasks.
- Ability to lift to 30 lbs.
