| Position Purpose |
Reporting directly to the Associate Dean for Diversity, Equity, Inclusion and Belonging (
ADEIB), the Administrative Assistant IV will advance the Office of Diversity, Inclusion, and Community Engagement (
DICE) efforts to advance Inclusive Excellence and Belonging (
IEB) initiatives across Geisel educational programs, including the medical doctor (MD) and Master's degree programs. The successful candidate will be responsible for providing administrative and project support for
DICE. The Administrative Assistant IV works closely with the
DICE team to advance initiatives across the Dartmouth academic enterprise. |
| Required Qualifications |
* Bachelor's or equivalent combination of education and experience
* Two plus years of administrative experience in a similar role, or relevant student facing office environment in higher and/or medical education, including the training, development, coordination, and evaluation of complex work among a team of staff/and students (may run concurrently).
* Excellent verbal and written communication and interpersonal skills.
* Ability to work effectively in a team.
* Exercise judgment and initiative.
* Interact positively with a diverse set of faculty, students, and personnel in a professional manner.
* Flexibility and adaptability.
* Ability to plan work, set priorities, and respond to pressures, deadlines, and changes in schedules and priorities.

* Proficiency in database management, spreadsheets, and other computer software.

* Ability to work collaboratively and demonstrate creative problem-solving with learners, faculty and staff within Geisel, our academic and clinical partners, and the community at large. |
| Preferred Qualifications |
* Bachelor's degree in hospitality, tourism, or project management or a related field of study.
* Experience managing and training others in structural, cultural, and other issues which can impact academic performance by students from culturally and socio-economically diverse backgrounds.
* Experience in overseeing community service-learning projects.
* Bilingual and able to read, write, and speak Spanish proficiently. |

Key Accountabilities
| Key Accountabilities |
Operational Efficiency (45%) * Manages phones, scheduling, inbox organization, and other routine administrative functions.
* Assists in organizing, coordinating, and overseeing the activities and support of service learning and volunteer opportunities for students.
* Plans and coordinates office operations, arranging complex meetings and travel, and coordinating communication and information flow across departments.
* Masters' computer systems, databases, word processing, spreadsheets, and presentation software to create reports and manage data efficiently.
* Track the percentage of
DICE events executed and identify any logistical issues.
* Act as a point of contact for internal and external office inquiries, disseminating information about inclusive excellence and belonging initiatives.
* Organizes key
DICE content from events and external resources to simplify access for faculty, staff, and students.
Project Management (45%) * Helps to plan, organize, and track assigned tasks for
DICE.
* Orders supplies, manages inventories, and assists with resource allocation.
* Provides high-level, confidential administrative support to
DICE team members.
* Updates the digital calendar with any known events, such as heritage month celebrations, professional development training, or meetings
.
* Assists Senior Event Program Coordinator heritage month programming, to include Hispanic Month, Black History Month, Ramdan, Diwali, and Lunar New Years to name a few celebrations.
* Coordinates publicity activity with the Senior Event Program Coordinator including working in multiple media, such as reviewing brochures and newsletters,
DICE website and social media updates and content, presentation platforms, and a wide range of publications/communications.
Information/Records Management (10%)
* Handles a wide variety of confidential matters and materials with the highest degree of discretion.
* Organizes, indexing, and maintains physical and electronic files.
* Organizes, files, and retrieves physical and electronic records, provides data entry, and supports general office functions, including scheduling and correspondence.
* Organizes and manages print and digital records, correspondence, and other files in the Office.
* Performs data entry, scanning documents, and verifying file accuracy.
* Creates presentations, charts, and other documents using software like Word and Excel.
* Compose and proofread correspondence prepared by the
DICE team. |
