DEPARTMENT OVERVIEW

As part of UC Legal, the Office of the General Counsel (OGC) delivers ethical, timely, efficient and high quality legal services to the University of California's ten campuses, five medical centers, and the Lawrence Berkeley National Laboratory, as well as to the Board of Regents, the President, the Chancellors and other officers of the University. Its services include prosecuting and defending litigation, drafting and negotiating agreements, providing advice, counsel and interpretation of laws, regulations and policies, and assisting with development of effective compliance and risk mitigation strategies to facilitate the University's complex operations.

POSITION SUMMARY

Provides advanced paralegal support for attorneys across multiple practice groups. Acts as liaison with internal clients, outside counsel and external organizations. Compiles and analyzes data and information from various sources. Assembles, proofs and edits drafts of documents and prepares and files legal documents with appropriate entities, as required. Conducts research on projects as directed by attorneys. Performs other duties as assigned, including assisting attorneys from multiple locations. Working under minimal supervision, has a high degree of knowledge in the overall paralegal field and functions with a high degree of autonomy. Develops and oversees the implementation of new programs and processes. Provides direct supervision and guidance to other paralegal personnel.

Responsibilities

60% Paralegal duties:

  • Provides highly complex analyses across a broad spectrum of practice areas and/or administrative topics, policies and initiatives and provides in-depth, complex research and analyses as a specialist in multiple practice areas.

  • Coordinate, analyze and assist with litigation and claims arising at the UC campuses and medical centers, including developing case strategy and other problem-solving strategies.

  • Interacts with all levels of University of California staff and external clients in the gathering of information and fact-finding.

  • Researches legal matters, analyzes, and reports to attorneys in practice area. Develops and advocates solutions to system issues such as Net Docs and CounselLink, including developing and administering new systems, policies, processes, or programs.

  • Perform document reviews in response to subpoenas, discovery requests and California Public Records Act requests for privilege that includes using keyword and metadata (Boolean) searches and producing electronically stored information ("ESI") and paper documents utilizing eDiscovery platforms, such as Logikcull and/or Relativity platforms.

  • Proposes, leads and/or participates on legal policy and planning committees and UC Legal practice working groups.

  • Under direction of a UC Legal attorney, research, review, interpret, and analyze law, policy, state and federal legislation, and technical information in various areas of legal practice.

  • Provide summaries, analyses, recommendations and positions to clients, outside counsel and UC Legal attorneys. Researches and summarizes best practices in the paralegal field.

  • Develops proposals and recommendations to guide and support a broader strategic direction for the organization.

  • Manages projects and acts as a lead to staff to ensure all components of project are completed accurately and within the designated time-frames.

40% Team Management and Leadership:

  • Mentors team members, provides constructive feedback, and supports continuous career development.

  • Serves as a resource to colleagues regarding legal terminology, laws, judicial decisions, court jurisdictions and procedure. Works with attorneys to direct work to appropriate direct reports to ensure balanced workloads and opportunities.

  • Meets with direct reports for recurring 1 on 1s as well as performance review check-ins.

  • Create work schedules, assign specific tasks, and manage workloads to meet deadlines.

  • With guidance from manager, address and resolve employee disputes, complaints, or disciplinary issues fairly.

  • Discusses possible areas for process improvement as well as status of active projects and any other job-related needs.

  • Works with direct reports on strategic initiatives and UC Legal goals to ensure compliance.

  • Identifies areas for development of self and team and develops plans to obtain necessary training.

  • Delegates work to team members as needed.

Experience

  • Minimum of eight years of relevant work experience and/or training required.

Skills and Abilities

Required Qualifications

  • Experience in and mastery of a significant body of legal knowledge relating to one or more legal practice areas represented within UC Legal's Office of General Counsel, as demonstrated by eight years progressively responsible experience as a paralegal working in a commercial firm, government or educational institution.

  • Demonstrated proficiency in the use of MS Office Suite (Word, Excel, Access and PowerPoint), electronic mail, and the Internet. Experience with applications to store, retrieve, and analyze data, and generate reports.

  • Advanced research, analytical/problem-solving skills in support of practice areas. Advanced research, analytical/problem-solving skills in support of practice areas to assemble proofs and edits drafts of documents.

  • Strong communication and interpersonal skills to communicate effectively with all levels of staff and influence, both verbally and in writing.

  • Strong skills to research and problem-solve to obtain information or data from various sources and materials and organize with excellent attention to detail into a comprehensive package.

  • Ability to use discretion and maintain all confidentiality.

Preferred Qualifications

  • Thorough knowledge of supervisory techniques gained from experience supervising clerical staff, or an equivalent combination of training, education and experience.

  • Strong planning and organizational skills to deploy staffing effectively.

  • Knowledge of eDiscovery software including but not limited to Relativity and Logikcull.

  • Knowledge of UC protocols and procedures.

  • Ability to multi-task with demanding timeframes.

Education

  • Bachelor's degree in related field or equivalent experience / training required.

SPECIAL CONDITIONS

The person hired will be required to reside within California and report to work on-site at UC's Office of the President (UCOP) located in Oakland, CA on a regular basis. Current policy requires that a new employee work on-site at least two days per week on Tuesday and Wednesdays ("anchor days"). In exceptional circumstances, approved by the General Counsel, candidates residing in or willing to relocate to California may be considered for a fully remote work arrangement.

This range takes into account the wide range of factors that are considered in making compensation decisions including but not limited to experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. It is not typical for an individual to be offered a salary at or near the top of the range for a position. Salary offers are determined based on final candidate qualifications and experience.
