Essential Job Duties
Are you an accounting professional who enjoys working with numbers, ensuring accuracy, and making a meaningful impact behind the scenes? Join our team as an Accounting Technician and play a critical role in supporting the operations of a world-class university. In this position, you will manage key aspects of the accounts payable process for the Facilities Division, which oversees an annual budget of more than $148 million and supports the infrastructure and services that keep campus running.
As an Accounting Technician, you will be responsible for reviewing and processing invoices, reconciling vendor statements, ensuring timely and accurate payments, and maintaining compliance with State of North Carolina regulations, UNC System policies, and university procedures. Your attention to detail and commitment to accuracy will help ensure strong financial stewardship, audit readiness, and exceptional customer service for both campus partners and external vendors.

Key responsibilities and duties include, but are not limited to:

  • Lead the end-to-end accounts payable process for a Facilities budget exceeding $148 million.
  • Verify invoices, assign appropriate account numbers, and determine funding sources for trade shop supplies, utilities, contracted repairs, and equipment leases.
  • Encumber payment authorizations online via the NCSU Financial Accounting System and process annual accruals for university accounting.

  • Review and process travel requests, credit memos, small purchase invoices, and interdepartmental transfers (IDTs).
  • Reconcile financial data between the University's Asset Management and Financial systems to ensure accuracy before payment.
  • Ensure all transactions adhere to the State of North Carolina regulations, UNC System policies, and university audit standards.
  • Independently prepare and manage documentation for critical month-end and fiscal year-end closing activities.
  • Maintain rigorous accounting records and provide necessary documentation to support internal and external audit activities.
  • Coordinate with external vendors, buying groups, and university purchasing to resolve discrepancies and prevent payment delays.
  • Partner independently with Facilities trade shops, the warehouse, and the purchasing department to facilitate the procurement of goods and services.
  • Respond to inquiries from work order management systems and provide technical assistance to campus departments regarding billing and documentation.
  • Communicate effectively with supervisors, coworkers, and the general public, and follow verbal and written instructions related to work assignments and operational needs.

Other Responsibilities

  • Cross-train in other Facilities Budget & Accounting tasks to act in a back-up role as needed.
  • Perform other duties as assigned by the supervisor.

Qualifications




Minimum Experience/Education
High School Diploma or equivalency and one year of experience in accounting work; or equivalent combination of training and experience.
Preferred Qualifications

  • Experience in maintaining accounting records, reconciling financial data, and working with budgets.
  • Ability to proficiently use Microsoft Office, AERES, Aim, Wolf Reports, People Soft, and CAPS, and or current software for tracking accounting and budget data, email, word processing, spreadsheets, database, and information collection is required.
  • Experience applying accounting principles and financial procedures within a university setting, including accounts payable, budget management, financial reconciliation, and compliance with institutional policies and regulations.
