Position Summary
The HR Coordinator is the operational backbone of the HR team, responsible for the accurate, timely, and compliant processing of employee documentation across the employee lifecycle - from onboarding through termination. This role combines hands-on administrative execution with front-line employee support, serving as a Tier 1 resource for routine questions while enabling HR Business Partners and Specialists to focus on higher-level case work. Reporting to the HR Manager, the HR Coordinator must be comfortable managing sensitive information, juggling competing deadlines, and maintaining a high level of accuracy in a fast-paced manufacturing environment.
Key Responsibilities
Documentation & Compliance
- Prepare disciplinary forms and supporting documentation in line with company policy and formatting standards
- Process new hire paperwork, including offer acknowledgments, new hire packets, and required compliance forms
- Complete and verify Form I-9 documentation for all new hires, ensuring compliance with federal requirements and deadlines
- Process employee status changes (transfers, promotions, pay changes, leaves) and terminations, ensuring documentation is complete and properly routed
- Maintain accurate, audit-ready employee files, both physical and digital, in accordance with recordkeeping and retention requirements
HR Systems & Data Integrity
- Enter and update employee data in Workday, including new hires, status changes, and terminations
- Perform regular audits of HR system data to catch and correct discrepancies before they affect payroll or reporting
- Generate standard reports from Workday as requested by HR Manager, HRBPs, or Payroll
Onboarding & Employee Lifecycle Support
- Coordinate onboarding logistics for new hires, including scheduling, paperwork completion, and first-day/first-week readiness
- Serve as a point of contact for new hires navigating early administrative questions
- Support offboarding logistics for terminations, ensuring documentation and system updates are completed on schedule
Meetings, Training & Events
- Coordinate scheduling, logistics, and materials for HR meetings, training sessions, and site-level HR events
- Track attendance and completion records for required training as needed
Employee Support
- Serve as the first point of contact for routine (Tier 1) employee inquiries related to policies, paperwork, and general HR processes
- Triage and route more complex inquiries to the appropriate HRBP or Specialist
- Support HR Business Partners with organizing and preparing documentation for employee relations cases
Requirements:
- 1-2+ years of experience in an HR administrative, coordinator, or generalist support role
- Working knowledge of I-9 compliance and standard new hire/termination documentation requirements
- Hands-on experience with an HRIS platform; Workday experience strongly preferred
- Excellent attention to detail, particularly when handling sensitive or confidential employee information
- Strong organizational skills with the ability to manage multiple deadlines and competing priorities
- Clear, professional, and approachable communication style for handling employee-facing questions
- Comfortable working onsite full-time in a manufacturing environment
