Basic Function The Marketing Coordinator works in all areas of Marketing including but not limited to Advertising, Website/Digital, Public Relations, Events, Sales Promotion/Retail Support, Collateral and Production Planning for Residential and Hospitality products. Assumes responsibility for the administrative duties of the department.
Organizational Relationships The Marketing Coordinator derives his/her authority from and reports to the Director of Brand Development. Maintains close contact in the planning, organizing and execution of the administrative duties of the department. Also assists with the marketing administrative needs of the Creative Services Manager and Digital Marketing Strategist.
Specific Responsibilities * Responsible for fulfilling all literature, merchandise, wood sample and promotion item requests from sales representatives, dealers/designers and internal personnel.

* Responsible for fulfilling all image, logo, advertising requests from sales representatives, dealers/ designers and internal personnel. Also, works on the Digital Asset Management (DAM) software uploading images, tagging images, etc.

* Responsible for processing all invoices/credit memos associated with the department, tracking expenditures and maintaining invoice files. Maintains a record of various expenses in preparation for month end closings. Research may be required to reconcile expenses. Maintains a good working relationship with finance and credit departments for smooth flow of financial transactions.

* Responsible for processing/fulfilling all other marketing requests from consumers, dealers/designers, reps, internal personnel, vendors and influencers/media.

* Responsible for distributing marketing materials to sales reps and internal personnel, including catalogs, POP materials, magazines, etc. Works with magazines directly on maintaining mailing lists.

* Helps support social media and public relations efforts by working with influencers, media and public relations agencies on image and information requests and product ordering.

* Assists in production planning for marketing projects, such as catalogs, price lists, etc. with timelines, proofing, communication with vendors and other duties as assigned by marketing management.

* Works on basic photo manipulation/design requests and/or works with retouching and CGI vendors.

* Responsible for administration of promotional item program including tracking inventory, ordering materials, coordinating shipping of orders and invoicing for orders.

* Responsible for maintaining wood sample program including tracking inventory, ordering wood samples and labels, coordinating shipping of orders and invoicing for orders.

* Responsible for maintaining various lists and databases: dealer locator, sales rep addresses/emails, media lists, vendors, etc.

* Responsible for coordinating with stockroom on new material mailings, for updating and monitoring collateral material inventory and for ordering miscellaneous collateral material - banners, binders, etc.

* Works on projects for Furniture Market as assigned by the Director of Brand Development, such as project plans, product naming, market parties/events, collating, mailings, setting the schedule with magazine editors/influencers, shipping materials, etc. May attend Market meetings, events, etc. as required.

* Responsible for maintaining printed and digital files of all projects, images, advertisements, etc., as well as department, interoffice, sales rep and dealer/designer transactions.

* Updates product information on "master" catalog, the marketing website and updates marketing information in the Product Information Management (PIM) software.

* Responsible for assisting Director with administrative duties as requested, such as sorting/distributing mail, making copies, scanning, updating project plans/schedules, etc.

* Maintains positive relationships with external vendors, such as printers, pre-press companies, POP resources, ad agencies, digital agencies, etc.

* Perform other duties, such as advanced image editing/retouching, project management, social media, digital asset management (DAM), product information management (PIM), etc. depending on skill set.

Qualifications:
  • Minimum of 5-7 years of experience in an administrative role, preferably in marketing.
  • Basic knowledge of marketing tools and techniques a plus
  • Strong planning and organization skills, detail oriented and an ability to multi-task.
  • Strong communication and interpersonal skills.
  • Action-oriented and able to work in a fast-paced environment.
  • Experience with Microsoft Office at a minimum.
  • Proficiency in the following a plus:
    • Image formatting - Adobe Photoshop or Illustrator
    • Marketing software - Hubspot, Google analytics
    • Asset Management software - Bynder, Canto, Drop Box
    • Product Information Management software - Salsify
    • Google Suite of products
    • Project Management software - Monday.com, Asana, Basecamp, etc.
  • Ability to quickly learn necessary technical tools and new software systems.
  • Positive attitude and willingness to assist others.
  • Ability to work successfully in a team environment.
