About the role
Vasion is seeking a People Operations Coordinator who embodies our core values and is excited to make an impact on our team. Role Overview
At Vasion, two of the most human parts of our business, hiring and hospitality, need one person who contributes to both. That's this role. You'll be the reason candidates walk away from the interview process saying they were treated well, and the reason employees, guests, and visitors feel welcome the second they step into our Lehi office. It's fast, varied, and highly visible, with room to grow into a broader people operations career.
What you'll do
Own the recruiting coordination engine.
- Schedule interviews across time zones and formats (phone, video, panel, on-site) using our ATS, including self-scheduling configuration and manual coordination when it gets complex.
- Coordinate on-site interview travel: flights, hotels, ground transportation, and detailed itineraries.
- Serve as the primary point of contact for candidates throughout the interview process, keeping communication warm, timely, and professional.
- Prep candidates and interviewers with the right information ahead of every interview.
- Track pipeline health and proactively move candidates forward so no one gets stuck.
Partner with hiring managers.
- Learn each hiring manager's style and urgency thresholds and adapt to them.
- Deliver proactive status updates and flag top candidates and time-sensitive situations before they're asked about.
Run the Lehi office experience.
- Serve as the first point of contact for the office: greet guests, candidates, partners, and clients; manage the visitor check-in system.
- Keep the office running: manage supplies, break room, catering, and vendor relationships; coordinate with facility management as needed.
- Support conference room setup and meeting technology (monitors, cables, video conferencing, whiteboards); make sure rooms are meeting-ready.
- Help plan and execute team events, department gatherings, and other in-office moments that matter.
- Handle administrative work such as expense reports, budget tracking, and ad hoc requests.
- Participate in the company safety committee.
Qualifications
- 1-3 years of experience in recruiting coordination, office administration, or a related support role (either background counts; you'll grow into the other side on the job).
- Exceptional organization and attention to detail; you manage complex moving parts while ensuring nothing slips through the cracks.
- Strong sense of urgency; you know how to prioritize when everything looks important.
- Emotional intelligence; you read situations well and adapt your communication style to different audiences.
- Clear, warm, professional written and verbal communication.
- Comfort with ambiguity and shifting priorities.
- Willingness to become an ATS power user (self-scheduling configuration, pipeline management, reporting, troubleshooting).
- Technical aptitude and genuine curiosity about AI-driven tools and workflow automation.
- General office proficiency with Google Workspace.
- Results-oriented, entrepreneurial mindset.
- Willing and able to commute to and work from our Lehi, Utah office five days per week, 9 AM-5 PM MT, with occasional flexibility for events.
- Access to a personal vehicle.
- Able to safely lift and carry up to 25 lbs (monitors, hardware, supplies).
