Primary Purpose: Towne University is the heart of the TowneBank campus in Suffolk, Virginia. The 16,000-square-foot venue hosts meetings, training programs, receptions, division conferences, board meetings, and community events. The Towne University Guest Experience Manager coordinates the day-to-day operations and guest experience, ensuring a seamless, welcoming, and impeccable environment for all visitors and events. This position is part of our Towne University Guest Experience team. The team serves as the on-site coordinators for facility readiness, guest hospitality, and event support, partnering closely with the Event Experience Team, vendors, and internal business partners to deliver exceptional experiences and maintain our high standards of service and presentation. The good-faith compensation range for this part-time role is expected to be $22.50 - $27.50 per hour, based on the role, market, internal equity, and candidate qualifications. This role is expected to work 30 hours per week. Essential Responsibilities: Venue Coordination & Facility Readiness
- Coordinates and manages Towne University reservations, scheduling requests and facility use.
- Ensures the facility is opened, prepared, and ready for guests, employees, and vendors daily.
- Coordinates room setup according to event specifications and confirms readiness prior to scheduled events.
- Ensures the facility is restored to established standards following meetings and events.
- Conducts regular inspections of meeting rooms, common areas, equipment, and furnishings to ensure compliance with Towne standards.
- Maintains inventory levels of meeting supplies, refreshments, paper products, and other consumables; places orders as needed.
- Receives and coordinates deliveries related to events and facility operations.
- Ensures all guest-facing spaces remain clean, well-maintained, and presentation-ready by coordinating maintenance needs, repairs, and facility support with internal and vendor partners.
- Conducts facility and venue tours for internal and external stakeholders.
Guest Experience & Hospitality
- Serves as the on-site point of contact for guests and visitors.
- Greets and directs guests, provides a welcoming and professional experience.
- Anticipates and responds to guest needs during meetings and events.
- Assists in resolving guest concerns and escalates issues when appropriate.
- Models Towne's service standards in all interactions.
Event Support & Coordination
- Supports implementation of event plans, timelines, and logistics established by the Event Experience Team.
- Coordinates event setup, execution, and breakdown with internal teams and external vendors.
- Provides on-site support during meetings and events, including troubleshooting and issue resolution.
- Assists with audiovisual and technology needs as required.
- Assist with member entertainment and community engagement activities.
Collaboration & Administrative Support
- Partners with the Event Experience and Learning & Development Teams to ensure seamless event execution and exceptional guest experiences.
- Coordinates with internal departments such as Security, Facilities and Compliance personnel to support building access, safety, and operational readiness.
- Supports building scheduling and coordination of on-call facility staff.
- Communicate regularly with the Event Experience Manager regarding operational needs, challenges, and opportunities for improvement.
- Assists in gathering guest feedback and identifying opportunities to enhance service delivery and operational effectiveness.
- Assists with coordination of member entertainment events. (For example, Virginia Symphony Coffee and International Tattoo.)
- Provides administrative support to the Marketing Department as needed
- Adheres to applicable federal laws, rules, and regulations including those related to Anti-Money Laundering (AML) and the Bank Secrecy Act (BSA).
- Performs other duties as required or assigned which are reasonably within the scope of the duties in this job classification.
Minimum Required Skills & Competencies:
- Minimum 5 years' experience in office setting and customer service
- Strong social and interpersonal skills
- Polished and professional appearance at all times
- Problem solving mindset and flexibility in communicating with key stakeholders and offering options or solutions to meeting space requests.
- Ability to maintain discretion and confidentiality and represent the bank professionally
- Pro-active organization with scheduling and inventory abilities

- Experience with Word and Excel
Physical Requirements:
- Express or exchange ideas by means of the spoken word via email and verbally.
- Exert up to 10 pounds of force occasionally, use your arms and legs, and sit most of the time.
- Have close visual acuity to perform activities such as analyzing data, viewing a computer terminal, reading, and preparing documentation.
