The University of Virginia School of Law seeks a Faculty Support Coordinator to join the Faculty Support department. Faculty Support is responsible for supporting all Law School faculty with a wide variety of responsibilities in event services, instruction, and administrative areas. This position reports to the Law School's Director of Faculty Support and is responsible for a wide range of activities to help plan and support faculty workshops and special events. The position also provides general administrative support to faculty for programs and colloquia as part of the faculty support team. While most Law School events take place during regular business hours, some evening and weekend work may be required.
This public-facing position regularly interacts with faculty, faculty visitors, event guests, including high-profile visitors and speakers, with responsibility for helping create a positive guest experience. The successful candidate will have strong interpersonal, written, and verbal communication skills, the ability to manage complex projects and coordinate multiple projects simultaneously, outstanding attention to detail and organizational skills, and be able to show discretion and good judgment. Responsibilities
- Build positive and collaborative relationships with Law School faculty and key internal Law School departments essential to the success of programs and events, including Building Services,Communications, Information Technology (LawIT), the Business Office, and the Law School Foundation
- Work with external vendors including hotels, caterers, venues, and the Virginia State Bar
- Coordinate with Law School faculty to plan and organize weekly faculty workshops throughout the year, and specialty workshops during the fall and spring semesters
- Communicate regularly with faculty workshop visitors from other law schools
- Participate in planning and executing major, annual faculty and staff events, such as receptions, lunches, and dinners
- Apply for Virginia CLE credit from the Virginia State Bar for faculty workshops, including an annual ethics workshop
- Maintain and audit electronic files and folders
- Process receipts and reimbursements and reconcile expenses
- Make reservations in the Law School's room reservation system
- Additional administrative duties as required
Minimum Qualifications
- Education: Bachelor's degree or combination of education, experience, and or certifications in lieu of degree requirement
- Experience: 1+ year of relevant experience
Preferred Qualifications
- Proficiency in Excel and MS Office 365 suite strongly preferred.
- Familiarity with Adobe and Zoom
Physical Demands Job may require sitting/standing for prolonged periods, frequently bending/stooping/traveling. Ability to lift/push/pull 25 lbs., climb ladders, stairs. Ability to use hands, often in repetitive motion, in order to complete work assignments Position Type & Work Location
