Responsibilities

SCOPE:

Under direct supervision, provides cross-functional administrative and secretarial support for practice and physician executive leadership, and other operational management staff as assigned. Supports and adheres to the US Oncology Compliance Program, to include the Code of Ethics and Business Standards.

ESSENTIAL DUTIES AND RESPONSIBILITIES:
  • Performs a variety of secretarial duties including cross-functional administrative support for practice and physician executive leadership. Duties may include making travel arrangements, scheduling meetings, memos, email management, reports, filing and miscellaneous correspondence.
  • Provides administrative support for special projects as directed by leadership.
  • Answers telephone, takes messages, and screens and directs calls for administration in a professional manner.
  • Performs duties as a receptionist by professionally greeting and directing visitors to the building location.
  • May assist with maintaining employee personnel files in accordance with policies and procedures.
  • Maintains office space in a tidy, orderly, and professional fashion. Maintains inventory of printing supplies and other office necessities and communicates changes or new items to staff.
  • Acts as a liaison with staff, physicians, and building management to resolve problems related to facilities maintenance.
  • May manage sorting, distribution, and sending of correspondence and mail items.
  • Composes, prepares, and proofreads correspondence, office memos and reports on computer and maintains confidentiality when required.
  • Designs and implements forms for use within the office by applying knowledge of software applications and updates as needed.
  • Maintains files in an organized and accessible manner to include updating information, purging files on a regular basis and creating a new filing system as needed.
  • Maintains office calendar and schedules meetings and appointments as needed.

SALARY:

$20.00 - $27.00 per hour


Qualifications

MINIMUM QUALIFICATIONS:

  • High School diploma or equivalent required
  • Associate's degree or higher preferred
  • Three (3) years of office administration and/or secretarial experience preferred
  • Strong computer and software skills require

Requires eye-hand coordination and manual dexterity sufficient to operate a keyboard, photocopier, telephone, calculator and other office equipment. Requires normal range of hearing and vision correctable to 20/20. Requires occasional lifting of up to 40 pounds.
