Overview
Virginia Oncology Associates, the largest group of medical professionals in Hampton Roads and Northeast North Carolina devoted exclusively to cancer care and blood disorders, has an exciting opportunity for a Phone scheduler to support all of our offices based out of our Centralized Operations office located in Norfolk. Employment Type: Full-Time, In-Person Benefits: M/D/V, Life Ins., 401(k) Compensation Range: $17.10/hr - $21.05/hr Actual pay is determined based on job-related factors such as relevant experience, education, credentials, skills, internal equity, and business needs.
Responsibilities
- Serve as a point of contact for radiation oncology patients, families, referring offices, and clinical teams, providing professional and patient-centered telephone and scheduling support.
- Schedule, cancel, and reschedule radiation oncology appointments according to departmental workflows and care-team direction.
- Manage scheduling communications and work queues and voicemail.
- Verify and accurately document patient demographics, contact information, referring-provider details, appointment activity, patient communications, and follow-up actions in designated systems.
- Route clinical questions, urgent concerns, and non-scheduling requests promptly to the appropriate radiation oncology team member.
- Collaborate with the radiation oncology team members while maintaining confidentiality and compliance with organizational policies and applicable state, federal, and HIPAA requirements.
- Receive and process medical record requests from physician offices, medical facilities, and patients, including obtaining records needed for care and releasing requested records to authorized recipients in accordance with departmental procedures, patient authorization requirements, and applicable privacy regulations.
Qualifications
- Receptionist or office experience required
- Medical office experience strongly preferred
- Proficiency with computer systems and Microsoft (Outlook, Office Word, and Excel) required
- High school diploma or equivalent
