Project Coordinator III

Location: Sunnyvale, CA (3 days/week onsite)

Duration: Through December 31, 2027

Schedule: 40 hours/week, 5 days; no overtime

Start Date: ASAP

Summary

This role supports engineering teams across the full budget lifecycle - planning, forecasting, accruals, and reporting. The coordinator serves as a trusted point of contact for budget owners, partners closely with Procurement, Sourcing, Accounts Payable, and program management, and builds the recurring reporting and automation that the organization relies on.

Key Responsibilities

  • Support engineering teams through quarterly and annual planning cycles by clarifying processes and tooling, resolving inquiries, and providing tailored analytical support to ensure on-time submissions.
  • Partner with cross-functional teams to audit budget and forecast submissions in internal tooling, ensuring data integrity and accuracy while providing ad hoc support to stakeholders.
  • Analyze forecast and spend data, translating variances into a clear narrative with named drivers and identifying risks and opportunities.
  • Log action items from reviews, follow up with owners, and drive items to closure.
  • Run and review the monthly accrual cycle: collect accruals from owners, validate against open PO balances and goods or services received, and enter them in the internal tool on time.
  • Build and maintain recurring reporting, including weekly and monthly budget status, forecast status, commitment reports, vendor and PO views, and dashboards.
  • Build reusable AI agents and assistants for recurring workflows, analysis, and reporting tasks to drive efficiency and scale.
  • Act as a trusted point of contact for budget owners on spend questions, working cross-functionally with Procurement, Sourcing Managers, Accounts Payable, and program management.

Required Qualifications

  • 5+ years of hands-on experience in spend tracking, budgeting and forecasting, and capacity or resource analysis, ideally supporting an engineering, hardware, R&D, or manufacturing organization.
  • Practical background in prompt engineering, AI agent development, or workflow automation tooling.
  • Advanced spreadsheet skills, including complex formulas, pivot tables, lookups, and large-workbook modeling, with a demonstrated ability to build reporting that others rely on.
  • Experience building dashboards and data visualizations for a leadership audience using any BI tool, such as Tableau, Power BI, Looker, or an internal equivalent.
  • Excellent written and verbal communication in English, with a proven ability to present financial analysis to senior non-finance stakeholders.
  • High degree of autonomy, comfort with ambiguity, and a bias toward closing loops without needing to be chased.
  • Discretion in handling confidential budget, vendor, and headcount information.

Preferred Qualifications

  • Bachelor's degree in Finance, Accounting, Economics, Engineering, Business Analytics, Data Science, Statistics, or a related quantitative field.
  • Professional experience or a data/analytics certification, such as a recognized data analytics professional certificate, Tableau Desktop Specialist, Certified Data Analyst, Microsoft Power BI Data Analyst, or a SQL or cloud data-analytics certification.
  • Exposure to a hardware or consumer electronics product development lifecycle and NPI gates.

Must-Have Skills

  1. Spend and forecast data analysis - hands-on experience processing financial data, ideally from a financial operations background, with the ability to prepare reports to an established standard.
  2. Executive-level communication - proven experience creating and presenting reports and insights to directors and senior leadership.
  3. Process improvement with AI - practical prompt engineering experience and the ability to think beyond prompting to improve business processes end to end.

Nice-to-Have Skills

  1. NPI (new product introduction) experience, especially in consumer electronics.
  2. Experience at comparable product companies such as Apple, Google, or Microsoft etc.
  3. Change management and new process implementation experience - the role is roughly 50/50 finance/data work and process/change work.

Years of Overall Experience Required

5+ years; HM prefers the higher end of the band.

Degrees/Certifications Required?

Bachelor's degree in Finance, Accounting, Economics, Engineering, Business Analytics, Data Science, Statistics, or a related quantitative field preferred but not required.

Story Behind the Need - Business Group & Key Projects

This team sits within the hardware Devices group and owns spend governance for the organization - bottom-up OpEx and CapEx planning for the money engineering teams need to do their work. The team partners with engineering to build the bottom-up forecast each year and then runs quarterly checks against that baseline to understand what has changed. Day to day, the group runs reports and spend analysis with the directors who own the budgets and gives them recommendations on how to optimize spend; the HM's director rolls that up and reports to the group's senior VP. The work is very hands-on with the numbers behind what is being spent, or planned to be spent, with suppliers, and is focused on surfacing insights, tracking spend, and improving it over time. The team is also actively investing in AI to uplift its existing business processes, so this will be a collaborative effort with the new hires.

Typical Day-to-Day in the Role

  • Review spending on a regular basis against what is budgeted for the quarter or year, and assess how each team is tracking.
  • Where a team is lagging, work with spend owners to understand the blockers.
  • Compile that information into a report for the lead or director.
  • Share insights with directors and walk them through the findings.
  • Follow up on suggestions and feedback and close the loop with the directors.
  • Five times a year, be the boots on the ground supporting budget owners and engineering teams through budgeting and forecasting cycles - each cycle can run three to four weeks.
  • Ability to gather feedback from budget owners and understand where they are stuck.
  • Ability to pull that into genuinely insightful reports with recommendations.

How Will Performance Be Measured?

  • Quality of the insights produced.
  • Completing work on time and escalating issues when they surface.

What Makes This Role Interesting?

This is a highly visible, hands-on spend governance role inside Client's hardware Devices organization, with direct exposure to the directors and senior leaders who own the budgets - insights produced here roll all the way up to the group's senior VP. Beyond traditional budgeting and forecasting, the team is actively building AI into its core business processes, so there is real room to shape how the work gets done rather than simply running an existing playbook. Candidates get breadth across planning, forecasting, accruals, and reporting for a consumer electronics

organization, and the team is building this function out with the intent of extending these assignments.

Candidate Disqualifiers

Profiles that are purely project/program coordination with no financial operations or spend/forecast data experience are also not the right fit; the role is roughly 50/50 between hands-on numbers work and process/change work. Candidates who cannot quickly pick up context, since the numbers must be interpreted in the context of a specific engineering department, are also unlikely to succeed.
