Job Summary

This position provides essential administrative support within the HIMS department, focusing primarily on the efficient and accurate processing of subpoenas. The Legal Administrative Assistant will be responsible for receiving, analyzing, processing, and responding to subpoenas while adhering to all legal and hospital guidelines. This role requires a high degree of attention to detail, strong organizational skills, and the ability to maintain confidentiality.

Essential Duties and Responsibilities:

  • Receive, log, and date-stamp all incoming subpoenas, ensuring proper documentation and tracking.
  • Review subpoenas for completeness, accuracy, and compliance with relevant legal requirements (e.g., HIPAA, state and federal regulations).
  • Identify the appropriate medical records custodian and collaborate with them to locate and retrieve requested medical records.
  • Prepare and organize medical records in response to subpoenas, ensuring accuracy and completeness.
  • Redact protected health information (PHI) as necessary, following HIPAA guidelines and hospital policies.
  • Maintain a detailed log of all subpoena activity, including dates received, deadlines, actions taken, and records provided.
  • Communicate effectively with attorneys, court personnel, and other parties involved in subpoena requests.
  • Ensure timely responses to subpoenas, adhering to all legal deadlines.
  • Prepare and process invoices for copying and other related expenses.
  • Maintain organized and secure files of subpoena-related documents, both physical and electronic.
  • Stay up-to-date on changes in laws and regulations related to subpoenas and medical record requests.
  • Maintain strict confidentiality regarding patient information and legal matters.

Please note: The compensation ranges listed online for roles not covered by a bargaining unit agreement are very wide, however a job offer will typically fall in the range of 80% - 120% of the established mid-point. An offer will take into consideration the experience of the final candidate AND the current salary level of individuals working at UCSF in a similar role.

For roles covered by a bargaining unit agreement, there will be specific rules about where a new hire would be placed on the range.

Required Qualifications

REQUIRED

  1. Certification: RHIT.
  2. Completion of Health Information Management course including Legal Aspects of Medical Record
  3. Completion of Medical Terminology course.
  4. Two years' experience with legal record review and release of information
  5. High school graduation.
  6. Knowledge of California, Federal and HIPAA regulations.
  7. General PC knowledge, and working knowledge of EPIC, Microsoft, 3M.
  8. Aptitude for technical perception and analysis of information in different system
  9. Excellent interpersonal communication skills.

Preferred Qualifications


  1. Three years of HIMS (Medical Records) experience in a hospital setting.
  2. Database knowledge and experience.
