Job Description

We are seeking a Project Coordinator to support our VP, Engineering in driving the daily operations of our organization. In this dynamic role, you will handle a variety of tasks including managing scheduling and travel arrangements, prioritizing daily activities, and facilitating key relationships. You will also conduct research and prepare materials for meetings and conferences. Additionally, you will collaborate with other staff members on outreach initiatives and major organizational events. Duties:



  • Prepare CAR's and distribute for approval.
  • Ensure invoices are approved in a timely manner.
  • Prepare orders for approved projects and change orders if required.
  • Monitor and Track Project Costs: Oversee and track expenditures for all approved projects, ensuring adherence to budgetary constraints and identifying any variances.
  • Prepare Comprehensive Monthly Reports: Develop and present detailed reports on the status and financials of all approved projects on a monthly basis, highlighting key insights and recommendations.
  • Reconcile Accounts: Address and resolve any discrepancies in accounts, ensuring timely and accurate reconciliation of delinquent or outstanding balances.
  • Generate Data Reports for Quarterly Reviews: Compile and analyze data to prepare insightful reports for Quarterly Business Review meetings, supporting strategic decision-making with accurate information.
  • Conduct Budget Audits: Perform thorough audits of project budgets on a monthly basis to verify accuracy, compliance, and alignment with financial objectives.
  • Handle Administrative Tasks: Execute essential administrative functions, including conducting research, managing email correspondence, and organizing documentation as required.
  • Execute Additional Duties: Undertake other reasonable tasks and responsibilities as assigned to support the efficient operation of special projects and the organization as a whole.

Required Skills



  • Bachelor's degree in a relevant field strongly preferred
  • Minimum of 3 years' relevant work experience in the industry
  • Ability to work independently with minimal supervision and assistance
  • Must have good analytical skills.
  • Strong written and verbal communication skills.
  • Professional maturity and confidence.
  • Ability to be self-driven and to independently manage fast-paced projects.
  • Must be able to use good judgment, discretion and remain objective so as to function independently from other teams.
  • Must be detail oriented.
  • Self-starter requiring minimal supervision.
