Provides the first line of communication with patients who contact the office via telephone to establish care with a primary care physician, request clinical appointments, and/or to speak with a Care Coordination Triage nurse. This is an important position to the continued success of the program, as in most instances it is the first contact and first impression for patients. This position will focus on non-clinical medical office duties such as scheduling patient appointments, taking accurate and detailed messages for clinical staff and transferring clinical telephone calls to the appropriate medical personnel. This position requires the use of a computerized scheduling system. This position will assist in the daily answering of incoming calls averaging 100 calls per person per day.

Examples of Duties

Telephone Responsibilities 50% 1. Answers incoming telephone calls in a timely and professional manner 2. Answers incoming calls within 3 rings. 3. Refers urgent medical calls to appropriate medical personnel. 4. Demonstrates the ability to gather and provide accurate and relevant information in order to distribute messages to other personnel. 5. Maintains awareness of the number of calls in the queue and alerts a supervisor of excessive wait times.
Scheduling Appointments 45% 1. Schedules patient appointments according to department guidelines utilizing a computerized system. 2. Registers new patients, obtaining and entering accurate demographic and insurance information. 3. Maintains operating knowledge of the following information systems: IDX, Touch works, and Avaya Workplace. 4. Enters/makes corrections to patient registration information into IDX. 5. Verifies insurance eligibility in IDX and MEDI systems.
Other Duties 5% 1. Maintain patient confidentiality. 2. Communicate with patients, business associates, physicians, and co-workers in a professional manner. 3. Alerts supervisor to any issues that may occur and any suggestions for improvement of processes.

Qualifications

- High school diploma or equivalent.
- Any one or any combination totaling one (1) year (12 months), from the categories below:
- Work experience comparable to that performed at the Medical Office Assistant level or in other positions of comparable responsibility.
- Work experience in a health care facility such as a doctor's, dentist's, or hospital's office; which involved record keeping, working with the public, direct patient contact, answering telephones, and working with medical terminology.
- Graduation from an accredited medical secretarial or paramedical program, such as nursing assistant, medical assistant, or medical secretary.
