Job Summary:

The Maintenance Planner and Scheduler is responsible for the maintenance and operation of the Computerized Maintenance Software Systems (CMMS). This includes data input, work order creation, inventory management, purchasing, and report generation. The position will assist with developing job plans and daily/weekly maintenance schedules for the maintenance and instrumentation department. This position reports to the Senior Maintenance Manager.

Primary Responsibilities:



  • Administers the Computerized Maintenance Software Systems (CMMS) and all associated cGMP documentation in a complete, orderly and highly accurate manner.
  • Receives/converts Maintenance Work Order requests, accurately inputting the appropriate data including account coding into the CMMS, and making the appropriate notification to Maintenance Department and/or Operational personnel.
  • Plans, schedules and coordinates corrective and preventative maintenance activities and will assist in determining job priorities, collaborate with appropriate departments.
  • Works closely with the purchasing agent and/or MRO Storeroom Specialist to ensure parts and materials are available for work orders and outages.
  • Uses procurement system to assist with purchasing and invoicing for the Maintenance Department; and acts as the Maintenance Department liaison with the finance, vendors, and suppliers.
  • Assists with spare parts tracking system including data collection and input as well as assignment of part numbers.
  • Performs routine office technology duties including preparing, composing, reviewing, editing, printing, and/or binding of word documents, spreadsheets, databases and reports related to Maintenance Department operations.
  • Assists Maintenance Department personnel with scheduling of routine and non-routine work as well as meetings and/or training, and travel arrangements.
  • Ensures compliance with cGMPs, OSHA, and any other regulatory guidelines that may apply.
  • Assists with training of Maintenance personnel on the CMMS and the Calibration system.
  • Provides technical solutions to problems related to the CMMS and the Calibration system.
  • Provides support on inventory stocking as it applies to production and facilities mechanical equipment.
  • Assists with establishing, reviewing, auditing, and editing of assigned maintenance practices and procedures.
  • Ensures compliance with Controlled Substance documentation and accountability procedures and policies, maintaining high alert to diversion and theft possibilities.
  • Performs other related assignments and duties as required and assigned.



Education and Experience:




  • Requires a High School Diploma or equivalent combined with a minimum of five years of experience planning and scheduling in a manufacturing maintenance environment.


Necessary Knowledge, Skills and Abilities:




  • Must be familiar with an industrial maintenance operations and management, preferably in a pharmaceutical manufacturing environment.
  • Must be proficient with all general aspects of Computerized Maintenance Management Software Systems (CMMS) and Instrument Calibration Software including operation, and administration.
  • Must possess good verbal and written communication skills.
  • Must be proficient with word processing, spreadsheet, database, and report writing software, preferably Microsoft as well as document archiving.
  • Must have knowledge of cGMPs, OSHA, and other regulations related and pertaining to safe, efficient, effective, and compliant plant equipment operation and equipment repair in a pharmaceutical/food production facility.
  • Must be adaptable and familiar with working in a maintenance environment where priorities are constantly shifting.

  • Perform job functions in various positions that may require sitting, stooping, balancing, kneeling, crouching, twisting, and/or reaching.
  • While sitting for an extended period of time on a routine basis, incumbent may use the following equipment: Personal computer, telephone/ other voice communication devices, copier, fax, scanners, or other specialized equipment used in an office setting.
  • Ability to work a 10.5 hour per day/4-day work week; 40 hours per week with overtime as required.
